Job Overview:

The Programme Manager is accountable for total administration of the inspiring Futures programme including marketing and communications, meeting minutes including social media presence.

Key Responsibilities:

Project Services To provide administrative services to the Project Team’s including but not restricted to keeping records, recruitment files and timesheets, reporting any discrepancies to the Senior Management Team. General Administration To provide accurate and timely support through a range of administrative activities (e.g. letters, queries, file set up and management) To assist in the preparation of meetings of Agendas including the preparation of correspondence, reports and policy documents as requested. To maintain the official minute books of all Meetings and Staff Meetings, ensuring confidentiality, records of motions and decisions and to update the action logs routinely. To ensure correct notices are given for meetings in accordance with legal requirements. To record minutes at meetings including Board Minutes. To ensure facilities are provided for the conduct of meetings. Project Services To provide administrative services to the Project Team’s including but not restricted to keeping records, recruitment files and timesheets, reporting any discrepancies to the Senior Management Team. General Administration To provide accurate and timely support through a range of administrative activities (e.g. letters, queries, file set up and management) Generic responsibilities which will be undertaken in support of the above work include the following (if applicable): To represent the Senior Management Team and the organisation as appropriate at various meetings, working parties, panels etc. as directedCo-ordinate and participate in internal/external meetings and forums.The above is not exhaustive and the post holder will be expected to undertake any duties for the organisation which may reasonably fall within the level of responsibility and the competence of the post as directed by the Director.

Personal Specification:

Essential Qualifications and Experience:

GSCE or equivalent in English and Maths Administration qualification Social media qualification Experience in a communications/PR/marketing environment (minimum 2 years) Experience of using design software such as Adobe InDesign, Canva

Skills and Competencies:

Knowledge of Microsoft packages (Word, Excel, Outlook, Access) and PowerPoint Ability to compose and produce standard letters and reports using IT applications (Word, Excel and Outlook) Ability to work to deadlines and within defined standards. Ability to undertake notes/minutes at meetings. Knowledge of general office practices and procedures Capable of handling sensitive information and ensuring confidentiality is maintained. Support with producing and maintaining interview packs, staff personal files and annual leave records. Knowledge and experience of media and stakeholder relations Knowledge and experience of using social media platforms e.g. Facebook, Instagram, Twitter, LinkedIn and management and monitoring tools. Knowledge and experience of using email marketing software such as MailChimp Knowledge and experience of video production and editing Knowledge and experience of using website content management systems

Personal Attributes:

Good communication skills both written and verbal, the ability to communicate with members of the public, suppliers, stakeholders and staff appropriately. Ability to work as part of a team. Ability to organise, prioritise and work to deadlines.

Working Conditions:

Standard office hours with occasional travel to provider sites and events as required. Opportunity for remote work based on company policy and provider needs.
