Job summary

We are looking for an enthusiastic, flexible and self-motivated Administrator for our 0-19 Business Support team in Portsmouth. This is a permanent role, hours per week, based at Civic Offices, Portsmouth, although the ability to travel to other sites if necessary is desirable. Free parking is currently available.

The successful candidate must possess excellent verbal and written communication skills together with IT skills. The ability to work to tight deadlines and with close attention to detail is also an essential requirement of this post. You will need to be a resourceful and organised administrator and capable of delivering high quality administrative support. Knowledge of Children's Services would be beneficial.

You will have a caring and courteous manner and enjoy working with and meeting people. You will also need to be able to work unsupervised and display initiative, whilst working autonomously or as part of a team. You will be working within the 0-19 service, in liaison with clinicians, outside agencies and families. Duties may include referrals, reports, uploading onto S1, and booking appointments as well as other administrative tasks such as filing, answering the phone, scanning, photocopying.

Main duties of the job

Use and populate where the electronic record system (SystmOne) with accurate information regarding child health records on a daily basis, to include scanning and uploading information from other services in a timely manner.

Follow agreed processes for dealing with emails on Outlook and , on a regular basis prioritising both urgency and importance, taking responsibility for signposting or dealing with queries regarding issues arising.

Populate systems and databases required for service delivery.

Ensure referrals are actioned following the agreed Child & Family Service procedures according to the defined performance targets and timescales.

Retrieve and store records ensuring accurate information is recorded on progress of these records, their destination and delivery according to IG protocol.

Ensure test requests and results are recorded and passed to clinicians within set timescales.

Process incoming and outgoing mail, telephone, or written messages, distributing appropriately and in a timely manner.

Attend and participate in team and other meetings, ensuring any actions arising are completed within the agreed timescale.

Maintain current office policies and procedures and be actively involved in their development.

Liaising with clients, colleagues, and other healthcare professionals in a positive, friendly, calm, and sympathetic manner, using good judgement to identify requirements in order to pass on information correctly or take appropriate action.

About us

We have been working with other local NHS Trusts to create a new organisation, bringing together all community, mental health and learning disability services from across Hampshire and Isle of Wight. Subject to approvals, the aim is for the new Trust to be formed by July 2024.Project Fusion is the name for the programme to create the new combined NHS Foundation Trust. Hampshire and Isle of Wight Healthcare NHS Foundation Trust will be bringing the services into a single organisation will result in more consistent care, more equitable access to services irrespective of postcode, and a more sustainable workforce and services.
