Responsibilities:

Take telephone calls as the first port of call transferred by the Security Team and follow up on enquiries and requests. Complete administrative tasks including word processing using Microsoft Word, Excel, Powerpoint and Outlook as well as other Company IT systems. Schedule meetings and arrange diaries, order catering as per requirements. Support employees and managers and provide administrative and basic HR advice and guidance within own capabilities in line with the Company’s procedures. Act as the Time Coordinator, updating systems whilst checking data is accurate and correct to maintain absence and holiday records. Assist with the Company recruitment and selection process, organising interviews, onboarding arrangements and correspondence to and from candidates. Assist with payroll processing, checking data entries and system administration. Complete data analysis and reporting using IT systems. Contributing to the delivery of HR project work and meetings as required. Work with the HRSC to help with the delivery of an operational HR service. Use time and attendance and HR systems and help managers with training and guidance on developments and processes. Undertake all work safely and in compliance with Company rules, the Site Safety Policy and participate in safety training programmes and safety audits. Maintain good housekeeping standards by keeping work areas and equipment safe and tidy.

Qualifications:

Will have the ability to work alone or as part of a team to meet work requirements. Excellent interpersonal, verbal and written communication skills. Will have some knowledge of and strictly adhere to data protection legislation and maintaining confidential information. Data analysis, planning and organisational skills. Previous experience in an administrative role utilising IT software and systems. The ability to use Microsoft applications including databases and spreadsheets, IT systems and other computer programmes used by the Company. Will act professionally and assess information, requests and situations and prioritise work and actions that need to be taken. Consistently positive about the company and the core values of the business. Knowledge and previous experience of HR and Payroll would be desirable. Will ideally have a CIPD Qualification or at least 1 years’ previous experience in a HR role, or willing to complete training and development to achieve this.

Working Arrangement:

Monday to Friday 08:30 to 16:30 with a half hour lunch break. Due to the nature of the role the postholder must be able to work on site at the Dumfries premises as required.
