The Role

To play an important role in driving the efficiency and effectiveness of the Corporate Affairs function by providing operational and organisational support to the functional leaders (Head of Government Policy & Affairs, Head of Communications, Head of Research & Strategic Partnerships, and Head of Sustainability),where it is needed most.

Major responsibilities and accountabilities:

Project management for critical elements of the work the team is doing to support business as usual activity, as well as the delivery of critical milestones and organisational moments (such as Results, industry events, campaign activation, business travel)

Supporting diary management across the leadership team and working with front-of-house team on logistics for key in-person meetings

Upward management to identify and resolve issues as they occur

Help to coordinate working with external agency partners as needed

Ad hoc support to functional leadership as and when required, alongside the Director of Corporate Affairs’ EA

Supporting efficient and effective running of the rhythm of business for the function

Ensuring that key regular meetings are planned and managed effectively – including helping to plan agendas, take minutes and follow up on actions

Help Chief of Staff and Senior Manager, Planning and Operations to gather insight and intelligence from across the function for critical planning input (e.g. around budget, planning etc)

Make sure function follows the appropriate ways of working and processes consistently (e.g. procurement and expenses, subscription, resource management and talent management)

Provide ad hoc logistical support for events, team gatherings etc.

Skills 

Communication skills - including managing inboxes, drafting email responses where required and using discretion at all times

Coordination – including providing challenge to the team ensuring agreed deadlines are met across the team, managing travel itineraries

Delivery to agreed deadlines - including attention to detail and the ability to track team project and programme plans

Taking initiative – including the ability to understand stakeholder priorities and plan accordingly

Organisation & planning skills – including diary management, tracking project plans, logistical planning and managing multiple stakeholders with competing demands

Adept at managing substantial workloads while maintaining performance under pressure

The ability to communicate or interact well with others regardless of the level or role of individuals

Knowledge

Grasp of Lloyd’s strategy and operating model, as well as having a basic understanding of the marketplace

IT literacy including Microsoft Office (Outlook, Word, PowerPoint & Excel)
