Reporting to the Lead EA thePersonal Assistant to the CEO an exciting and dynamic role for anexperienced and highly organised Personal Assistant looking tosupport a highprofile CEO in a fastpaced influential environment.

Reporting directly to the Lead ExecutiveAssistant you will be an essential part of the CEOs support teamensuring that every aspect of their professional and personalcommitments is seamlessly managed. Youll have a frontrow seat tothe inner workings of a leading organization playing a key role inenabling the CEOs productivity and focus.

Theideal candidate will be a natural selfstarter capable of managingour many often and urgent asks and adapting to the dynamic needs ofthe CEO to provide seamless support. This candidate is also highlyprecise someone who thrives making sense of and keeping on top ofevery detail. Finally this candidate is a natural logistician andplanner.

This is more than an administrativeposition; its a role for a proactive adaptable and resourcefulindividual who is passionate about supporting at the highest leveland is looking to further develop their experience in executivesupport.

Objectives& Responsibilities:

Beam is an excitingand dynamic environment meaning these are likely to change as wegrow. Upon joining your objectives and responsibilities willinclude:

  • Workwith the Lead EA to manage the CEOs business and private diariesscheduling meetings appointments and events while ensuringefficient time management.
  • Arrange travel andaccommodation building complex travel itineraries and provideupdates as required on travel plans and changes
  • Manage the CEOs expensessubmitting receipts and approvals to the Finance team in a timelymanner
  • Manage CEO guestaccess from liaising with facilities for building access to guestgreeting to arranging catering as needed
  • Occasional support withurgent personal items or family commitments (e.g. invitations toevents or personal errands)
  • Help the Lead EA screenand prioritise emails for the CEOs review as needed
  • Liaise with legal supportassisting with NDA preparation and organising correct signing andfiling
  • Assist the Lead EAwith actioning decisions coordinating followups and executing tasksthat support the strategic objectives of the CEOs office
  • Provide backup supportfor critical projects or tasks when needed ensuring continuity inthe CEOs support structure
  • Support the Lead EA withother administrative tasks as needed including eventcoordination

    • 3years previous experience as a Personal Assistant or similar roleat CSuite or similarly senior level
    • Strong organisational andtimemanagement skills with the ability to prioritise taskseffectively and meet deadlines
    • Flexible and adaptablewith an understanding of the demands of supporting a busy Executive
    • Excellent written andverbal communication skills
    • High level of discretionconfidentiality and loyalty
    • Strong proficiency inMicrosoft Office Suite (Word Excel PowerPoint)
    • Project and actionmanagement skills
    • Strongstakeholder management from communicating with other executivesliaising with fellow employees and collaborating with the rest ofthe business support team (EAs and OfficeAssistants)

    • Previousexperience in a growth/scale up environment strongly preferred
