Database Coordinator

Make It Matter
At Ashfield MedComms we live and breathe our values and are committed to excellence. Our people are the key to our success. As such, connecting with new talent to join our team is fundamental to driving our business forwards. This is the place to grow your career.

So, what’s the job?
At Ashfield MedComms, a division of Inizio, we help major pharmaceutical companies with the publication and presentation of key research projects at international medical journals and congresses.

As a Database/Publications Coordinator you will be an integral part of the publications team, tracking the review process for developing medical publications. You will maintain and report on client databases, track timelines, and author comments through a publication review database, Datavision, iEnvision and Excel spreadsheets; providing accurate and timely updates to meet client and author needs. You will also accurately upload and download information regarding ongoing projects and ensure this is communicated to the relevant contacts, and reporting when issues arise relating to the database. You will work with a team of medical writers and account managers to ensure that the publication process runs smoothly and according to established targets.

Who is the ideal candidate?
As you will be tracking and reporting on others’ work, high levels of attention to detail and excellent word processing skills are a must. We’re looking for a methodical, process-driven individual with strong communication skills who can work well within part of an established team. You must have the ability to work under your own initiative and the ability to prioritise a varied workload. Publications often revolve around key deadlines, so the work load can vary throughout the year. The ideal candidate will be flexible and perform well during busy periods. Previous experience in data administration and a background in healthcare communications/pharmaceuticals would certainly be advantageous, but not essential.

Typical daily tasks for the Database/Publications Co-ordinator:
Regular contact with client through email and Teams calls.
Accurately upload/download information regarding ongoing projects.
Proactively forward information from the database to relevant members of the editorial team.
Correctly file information from the database in relevant internal electronic folders.
Accurately and regularly update relevant publication trackers, providing internal updates where necessary.
Inform line manager of any issues relating to the database and work toward resolving the problems in conjunction with other team members.

*This position comes with an initial three days face to face training at our Maidenhead office

Don't meet every job requirement? That's okay Our company is dedicated to building a diverse, inclusive, and authentic workplace. If you're excited about this role, but your experience doesn't perfectly fit every qualification, we encourage you to apply anyway. You may be just the right person for this role or others.
