About the job In this role you will provide administrative and assistance to the team across the whole talent acquisition & employee life cycle. You will work collaboratively with both the people team and our network of colleagues across the organisation to understand their needs and to support in continuous improvement to help us to engage talented individuals from a diverse range of backgrounds to join and grow with our organisation.  You will be naturally confident with excellent communication skills (both written and verbal), and the ability to build strong working relationships with internal and external stakeholders. Our strong team ethic has been an important part of our success, so you can't be afraid to roll up your sleeves up and get in involved. Finally, while it would be great if you have some experience in a resourcing or HR role already, this a fantastic opportunity for someone looking to take their first steps into the world of HR or Talent Acquisition too. 

Your main responsibilities will be:  

Talent Acquisition:  

Championing our organisation in aiding with our social media account by having engaging posts to promote our Employee Value Proposition to prospective employees. Creating eye catching media to be shared both internally and externally to promote our vacancies.  Support our train operating companies in the coordination of their recruitment including raising a role, arranging interviews, and successfully moving to conditional offer on our ATS system.  Conducting administrative duties in relation to the talent acquisition process such as reviewing applications in line with the role profile and rejecting or moving them through the process. Conducting pre-screens for entry level roles and liaising with managers to organise interviews and progressing candidates through the acquisition lifecycle. Organising new starter welcome packs for day 1 and welcoming new starters to the organisation in a warm manner. Reviewing our Talent Acquisition query email inbox and processing email enquiries in line with departmental processes and standards. 

HR:  

Reviewing our HR and pay query email inbox and processing email enquiries in line with departmental processes and standards. Conducting administrative and people assistance duties in line with processes and procedures. Administering changes and being highly organised, providing feedback to stakeholders throughout the process. Undertaking the management and administration of site access cards, temporary and visitor passes etc. Analysing absence trends, chasing return to works, checking quality standards and providing feedback to the Senior members of the people team to provide coaching. Reporting and escalating issues in a timely manner to senior HR members for review and action. Filing, administration of post, administration of notices and other ad hoc duties as required. Process new starters, leavers, contract changes, sickness and other absences and updating systems accordingly. Inputting data for metrics and strategic evaluation. Maintain HR trackers and systems in a highly accurate and efficient manner. Always comply with GDPR principles with the utmost diligence and integrity 

As a minimum, you will need to have:  

Proficiency in Microsoft Technologies – Office 365, Teams, Outlook etc. Strong organisation skills with an ability to prioritise and meet deadlines.  Ability to engage directly with internal stakeholders and external stakeholders.  Reliable, responsible, and able to handle confidential information with discretion.  Excellent communication skills  GCSE English and Maths at grade 4 or above  Prior experience within a recruitment or HR role is desirable but not essential 

About the location  

Sheffield city centre. Ten minutes' walk from Sheffield Station. Travel to other UK locations as appropriate 

Working pattern  

Monday – Friday 8:00am – 18:00pm 
37.5 hours per week
