Job summary

:

The purpose of the role is to:

Offer general assistance to thepractice team and project a positive and friendly image to patients and othervisitors, either in person, online or on the telephone.

Receive, assist and direct patientsin accessing the appropriate service or healthcare professional in a courteous,efficient and effective way.

Undertake a variety of administrativeduties to assist in the smooth running of the practice including the provisionof secretarial and clerical support to clinical staff and other members of thepractice team where needed.

Facilitate effective communicationbetween patients, members of the primary health care team, secondary care andother associated healthcare agencies.

Duties and responsibilities:

The duties and responsibilities to beundertaken may include any or all of the items in the following list. Dutiesmay be varied from time to time under the direction of the senior GP or yourSupervisor dependent on current and evolving practice workload and staffinglevels:

Knowledge and use of EMIS web

Processing and issuing ofprescriptions within standard timeframes as per practice policy

Maintaining and monitoring thepractice appointment system

Processing personal and telephonerequests for appointments, visits and telephone consultations and ensuringcallers are directed to the appropriate healthcare professional

Processing and distributing income(and outgoing) mail using Workflow

Taking messages and passing oninformation

Admin duties including scanning, readcoding, completing tasks and summarising patient medical records

Computer data entry/data allocationand collation; processing and recording information in accordance with practiceprocedures

Initiating contact with andresponding to requests from patients, other team members and associated healthcareagencies and providers

Filing and retrieving of paperwork

Clearing and restocking consultationrooms as required

Monitoring of fridge temperatures

Providing clerical assistance topractice staff as required from time to time, including word/data processing,filing, and photocopying

Keeping patient areas tidy and freefrom obstructions and clutter

Being polite and helpful to patientsand colleagues at all times ensuring that you provide good customer service andmake a good impression

In the course of seeking treatment,patients entrust us with, or allow us to gather, sensitive information inrelation to their health and other matters. They do so in confidence and havethe right to expect that staff will respect their privacy and act appropriately.

In the performance of the dutiesoutlined in this Job Description, the post-holder may have access toconfidential information relating to patients and their carers, practice staffand other healthcare workers. They may also have access to information relatingto the practice as a business organisation. All such information from anysource is to be regarded as strictly confidential.

Information relating to patients,carers, colleagues, other healthcare workers or the business of the practice mayonly be divulged to authorised persons in accordance with the practice policiesand procedures relating to confidentiality and the protection of personal andsensitive data.

Using personal security systemswithin the workplace according to practice guidelines

Identifying the risks involved inwork activities and undertaking such activities in a way that manages thoserisks

Making effective use of training toupdate knowledge and skills

Using appropriate infection controlprocedures, maintaining work areas in a tidy and safe way and free from hazards

Essential

Essential criteria Good customer service, the ability to work as part of a team, ability to maintain confidentiality whilst handling sensitive information and basis IT skills.

Desirable

Desirable criteria Experience of working in a GP practice, reception experience in an NHS setting and knowledge of EMIS Web.
