Main duties of the job

The successful candidate will be asked to provide administration supportacross a range of functions and services. Undertaking HR and financeadministration, administering and managing digital and social media, supportingthe effective administration of Primary Care Network contracts and supportingthe delivery and coordination of clinical services.

This role offers an interestingand wide variety of work and will provide exposure to a wide range of workrelating to the running of healthcare services. The role will be critical inensuring the effective and efficient running of services.

About us

The Dartford, Gravesham and Swanley area is located in North Kent, only a 15 minute commute by train from London St Pancras, and our main GP Federation office is metres away from Ebbsfleet International Rail Station. The area is undergoing considerable housing, retail and leisure development including the Ebbsfleet Garden City Area. The area also boasts the Bluewater retail centre, and there are a good variety of high performing schools including state, grammar and independent schools. All practices in the area are members of the GP Federation and we work together to design and deliver clinically led and managerially enabled services.

Job responsibilities

Key Responsibilities

-Provide support to the Head of Operations and OperationsLead as required.

-Coordination of various monthly meetings (logistics,preparing and sending papers, taking minutes and action points, following upactions)

- Maintainingaccurate and up-to-date information on Primary Care Networks and their memberpractices.

- AttendingPCN Meetings as required taking notes and actions.

-Support the digital agenda, promote usage of digitalservices and serve as an important notification portal for the Primary CareNetwork member Practices

-Undertake key operational tasks as outlined by serviceleads and senior management team (SMT)

-Contribution to and submission of appropriate returnsand reports as delegated by management to the relevant bodies.

-To undertake basic project management tasks.

-Document management production of proposals,briefing papers

-To maintain a risk and issues log

-To ensure a good working knowledge of national andlocal policies and procedures relating to Primary Care Networks.

-To support the sharing of best practices and learningacross DGS Health and Primary Care Networks (PCNs).

-To ensure effective communication between DGS Health,PCNs and commissioners.

-To offer a high-quality customer experience formember PCNs as subscribers of the service.

- Master scheduling techniques,ensuring efficient coordination of appointments and managing calendars forhealthcare providers.

- Learn to organise and maintainpatient records, including data entry, updates, and confidentiality protocols.

- Understand the importance ofproviding excellent service to patients and stakeholders, addressing enquiriesand concerns professionally, including call-handling skills

- Acquire knowledge of relevanthealthcare regulations, policies, and procedures to ensure compliance withadministrative tasks.

- Enhance collaboration withhealthcare professionals, administrators, and support staff to ensure smoothoperations.

- Adherence to CQC regulations andupdating knowledge on all Health and Safety regulations to promote safe working

Clinical Support

- To support the wider team in dayto day running of clinical services.

- Answering telephones and booking,rebooking, and cancelling patient appointments

- Responding to and processingpatient referrals

- Publishing rotas and responding torequests from clinicians applying for work sessions.

- Managing referrals for multipleservices with attention to detail and accuracy at all times

- Ensuring all equipment isavailable for clinicians to undertake their role safely and efficiently

- Accepting requests for worksessions via our platform Lantum

- Responding to emails/enquiriesfrom clinicians and patients

- Checking clinicians documentationensuring they meet all requirements.

- To support service mobilisationplans as required for delivery of new services.

- To provide administrative supportto the Pharmacy Service and Long term condition clinics as required.

HR

- Undertaking administration of HRrecruitment processes, such as following up on references, checkingdocumentation and arranging interviews as requested.

- Develop and maintain local staffintranet teamnet

- Support planning for stafftraining and development and staff meetings.

- Posting jobs and maintainingaccurate employee information

Finance

- Printing and saving invoices

- Raising invoices

- Checking Invoices againstdeliveries

- Credit control checking paymentshave been received and following up non or late payers.
