Main duties of the job

The successful candidate will provide comprehensive administrative and/or secretarialsupport to an individual, clinical team or specific service area to harmoniseefforts and specialisms of all disciplines to achieve effective and efficientservice provision, undertaking diary management, including booking events,meetings and appointments.

They will attend meetings, organising refreshments and resources,preparing agendas and taking accurate notes/minutes, identifying andco-ordinating agreed actions. Communicating effectively both verbally and inwriting with a wide range of professional colleagues and service users.

The post holder will organise, plan and prioritise own workload, to be responsiveto the changing needs of the service, utilising and maintaining electronic andhard-copy office systems to ensure the smooth-running of the service or team and deal confidentially and confidently with complex patient andstaff information and to provide support and advice within the remit of therole, and escalating problems or concerns where appropriate.

Experience

Essential

Dealing with complaints or other emotive situations with sensitivity, diplomacy and confidentiality. Using own initiative to solve problems, including taking corrective actions.

Desirable

Experience of transcribing information from either dictation or handwritten notes. Experience of ordering goods or services, monitoring progress of orders, checking receipt of goods or services to ensure invoices can be reconciled.

Qualifications

Essential

GCSE English Language Grade C (new Grade 4) or above. GCSE Maths Grade C (new Grade 4) or above. RQF (Previously NVQ) Business & Administration Level 3 or equivalent skills and knowledge. City & Guilds Typewriting Level 2 or above, or can demonstrate equivalent skills. City & Guilds Audio transcription Level 3 or above, or can demonstrate equivalent skills.

Desirable
