As a Facilities Coordinator, you will be responsible for maintaining the freehold and leasehold properties within the group's estate. Your role will encompass both hard and soft services, ensuring efficient day-to-day operations in compliance with the group’s legal and operational requirements. You will work closely with the Deputy Retail Facilities Manager and coordinate with contractors, suppliers, and internal departments to meet the facility needs of retail sites, handle new acquisitions, and support various project works as necessary.

Responsibilities 

  • Administer and maintain software systems used for controlling facility operations.
  • Plan and schedule both preventative and reactive maintenance for hard and soft services.
  • Review and verify invoices and quotes, raising purchase orders in compliance with group policies.
  • Coordinate and organise work with contractors, ensuring alignment with group standards.
  • Act as a key point of contact, managing communication between stores, contractors, suppliers, and internal departments.
  • Oversee facilities management for newly acquired sites, ensuring smooth integration.
  • Support project work as needed, contributing to special initiatives and improvements.
  • Assist and collaborate with the wider facilities team, fostering a cooperative work environment.
  • Play an active role in managing store closures, ensuring all facility-related tasks are completed.
  • Monitor and manage tickets via the ARMS Portal, assessing and prioritizing tasks.
  • Handle incoming and outgoing calls related to facilities management using the designated mobile line.
  • Provide reception coverage at Unit A, as needed.
  • Participate in the facilities department’s rotational "On Call" schedule.
