Job summary

Fixed Term or Secondment (18 months) - 30 hours per week

An exciting opportunity has arisen for an enthusiastic project support administrator with excellent organisational skills to support the Learning Disabilities and Autism Team with the Oliver McGowan programme.

You will be an excellent communicator with the ability to organise and prioritise workflow, you will be proficient in scheduling and managing a variety of tasks with competing deadlines. A key element of this role is engaging with senior stakeholders across South Yorkshire therefore having good interpersonal skills is essential.

This is an excellent role for someone wishing to gain experience working within programme/project management to develop their skills and knowledge should they wish to progress into project management in the future.

Main duties of the job

The post holder will work as part of a team delivering an effective project support service; providing efficient and effective administrative project support to the team.

The post holder will be responsible for setting up and administering project meetings, steering groups, workshops and events including completion of minutes and action logs.

The post holder will be required to update online systems such as the project management systems and use Microsoft Teams.

The programme is fast paced so you will need to be dynamic and have the ability to multi-task and manage own workload effectively.

Job description

Job responsibilities

Support colleagues with administrative tasks including diary management. Assist in coordinating meetings and events. Prepare agendas and take notes at meetings. Manage own time effectively. Organise meetings for the team. Updating project management system Plan complex administrative tasks/activities; supporting project work to be achieved within set timeframes. Ensure complaints, comments and suggestions are dealt with sensitively and helpfully, escalating as needed. Explain sometimes complex administrative and project processes in an understandable way to colleagues, internal or external stakeholders. Promote a positive image of the service in all dealings; being professional, tactful and helpful. Exercise judgement when dealing with queries, resolving issues where possible and escalating as appropriate. Standard keyboard skills are required to use computer systems on a regular basis. Updating spreadsheets and using Microsoft forms on a daily basis. Person Specification

Able to work on own initiative and unsupervised, within defined policies and procedures. Good customer service skills. Good written and verbal communication skills. Able to use tact and persuasion to support problem solving. Intermediate knowledge of IT systems and software such as Microsoft Office.
