Each event at Cotswold Farm Park is thoughtfully designed to connect visitors with our unique countryside setting, making every visit a memorable adventure. 

Purpose of Role: 

The Event Supervisor is a key role in supporting the Commercial Manager with the growth and seamless delivery of onsite events. The Event Supervisor will lead from the front at all events, working on site and co-ordinating our events team to achieve successful delivery of the objectives of each trading period. 

This position is responsible for providing exceptional customer-facing service, overseeing all front desk operations, supervising team members and ensuring a consistently high standard of service for all visitors during events.  

Additionally, the Event Supervisor will collaborate closely with the Marketing Team to organise event promotions, temporary event interpretation, and ensure that the necessary resources—such as training, booking processes, and product knowledge—are provided to the team to achieve sales targets. 

Principal Responsibilities: 

Event Planning and Coordination: 

  • Assist the Commercial Manager in the comprehensive planning and development of event plans, contributing creative ideas and ensuring all aspects of the event are meticulously planned. 
  • Gather and compare quotes from various suppliers, contractors, and service providers to ensure cost-effective solutions without compromising on quality or sustainibility. 
  • Schedule and coordinate the work of contractors, artists, and other external partners, ensuring timely delivery and adherence to the project plan.
  • Liaise directly with artists, performers, and contractors to coordinate their involvement, ensuring all logistical needs are met and expectations are aligned. 
  • Support the event build programming, working within the project plan to deliver events on time and to the highest standards. 
  • Develop and implement systems and processes for the efficient breakdown and storage of equipment and props following an event. 
  • Assist the Marketing Team with the transition of onsite signage and materials when changing between different events, ensuring a smooth and visually cohesive changeover. 
Time outside of the event delivery period will be also spent planning, sourcing, booking, gaining quotes, researching and preparing events.  Time will also be spent working in customer facing roles throughout the business, to enable the full skills range to be understood and demonstrated (for example, admissions, F&B, retail, bookings office etc). 

Customer Facing: 

  • Be present onsite at the launch of events to oversee and ensure smooth operation of all systems and processes for the team. 
  • Supervise and coach the events team during events, continuously identifying opportunities to enhance the visitor experience and drive sales. 
  • Maintain and ensure a high level of customer service across all event areas, delivering a seamless and satisfying experience for every visitor. 
  • Continuously improve the customer journey from start to finish, finding efficiencies and refining processes where possible. 
  • Ensure the appearance and cleanliness of all front-of-house desks are maintained to a high standard, and provide necessary staff training and processes to achieve this. 
  • Promptly and professionally address any guest queries or issues that arise during events. 
  • To assist in customer facing positions during quieter periods, working across all of the teams within the business.  
Event Supervision: 

  • Maintain high presentation and delivery standards across all events, ensuring every aspect is executed to the highest quality. 
  • Supervise the events team throughout each event session, serving as the primary point of contact and ensuring constant communication via radio.
  • Clearly communicate the day’s responsibilities and tasks to the team, ensuring all members, including casual team members, are thoroughly trained and inducted.
  • Ensure the team maintains high standards of uniform and personal presentation, reflecting the professionalism of the event. 
  • Effectively delegate tasks on the event jobs list, ensuring team members work efficiently, independently, and to the highest standards. 
  • Ensure all Health, Safety, SOPs, and PPE requirements are strictly adhered to during events. 
  • Safely and tidily store activity props and equipment between uses, maintaining order and readiness for future events. 
  • Conduct necessary end-of-day EPOS, booking, or financial processes to ensure accurate event records. 
  • Organise and manage the replenishment of stock or activity equipment, ensuring everything is prepared and ready for the next event. 
Qualifications and Skills: 

  • A minimum of 2 years experience in event management, planning, or supervision, in a commercial setting.  
  • Strong organisational skills with the ability to manage multiple aspects of event planning and execution. 
  • Excellent customer service and communication skills, both verbal and written. 
  • Ability to lead, train, and motivate a team, ensuring high standards are consistently met. 
  • Experience in liaising with contractors, artists, and suppliers. 
  • Strong attention to detail and problem-solving abilities. 
  • Ability to work under pressure and manage multiple tasks simultaneously. 
  • Knowledge of health and safety regulations related to events. 
This role is ideal for a highly organised and creative individual with a passion for events and a commitment to delivering exceptional customer experiences. The successful candidate will be proactive, hands-on, and ready to contribute to the successful planning and execution of events from start to finish. 

Start date: Immediate start available for the right candidate.  
Working hours: Based on an average 37.5 hr working week, with shifts scheduled at evenings and weekends during event periods. Longer working days will be required during event periods, with time off in leui taken at quieter times.
