Job summary

Our CEO is seeking a highly organised and proactive Personal Assistant. 

As PA, you will be a key member of the Vestd team, optimising the CEO’s time; supporting him with covering both work and personal activities to achieve this.

While Vestd is a fully remote business, this role will involve in-person meeting with the CEO on a regular, and often ad-hoc, basis, the frequency to be determined by operational needs, hence the requirement for the candidate to be based in the Richmond/Twickenham area. You will develop processes and systems to allow you to take more responsibility and autonomy covering the agreed bases in partnership with the CEO and collaborate with all other parts of the organisation where appropriate in line with the above objective.

You will be experienced  in working at this level within a fast-paced, remote environment. A natural problem-solver, with experience of managing up and confidence to share process improvements suggestions. Multi-tasking and proactivity are essential to this role, as well as the ability to prioritise competing demands.

Requirements

Responsibilities

  1. Provide High level administrative support to the CEO, and wider team when required.
  2. Ultimately own and manage his diary.
  3. Manage all internal and external communications, including email & slack email  ‘Inbox’ management, prioritising and flagging email correspondence for review.
  4. Prepare meeting documentation including briefing notes, presentations and agendas along with other admin support. 
  5. Conduct research on various topics as assigned.
  6. Make travel bookings and visa applications for the CEO and wider team (where required) including travel itineraries and appropriate ticketing.
  7. Prepare and submit CEO’s expense reports.
  8. Support with ad-hoc administrative duties for the wider team where appropriate.

What you will bring

  • At least five years of recent experience. 
  • Impeccable attention to detail and high degree of accuracy.
  • Discretion and trustworthiness: the ability to handle sensitive information confidentially.
  • Strong command of both written and verbal English.
  • Ability to prioritise and multitask efficiently, demonstrating initiative and flexibility when faced with evolving priorities.
  • Good working knowledge of word processing, spreadsheets, presentations (particularly MS Office and Google Suite). Familiarity with tools such as Slack and HubSpot would be advantageous. Ability and eagerness to pick up new technologies quickly.
  • Exceptional interpersonal skills with a track record in delivering high quality stakeholder management at all levels.
  • Embracing new ideas, challenges and change with positivity and a hands-on approach.
  • Ability to work proactively without oversight, demonstrating an entrepreneurial and problem-solving mindset.
