Job summary

We are looking for a motivated and dynamic administrator for a permanent part-time role, 24 hours per week, worked Monday-Friday.

The role includes providing administration support to the Health Visiting and School Nursing team, based in the Civic Offices in Portsmouth and Medina House in Cosham, so the ability to travel between sites is essential.

The successful applicant will carry out a range of administration tasks; answering telephone queries, arranging appointments and using the clinical records system accurately and efficiently. This is an important role within the team as you may be the first point of contact with clients, so an excellent approach to customer service is essential.

Previous clerical experience is desirable, preferably working with members of the public, ideally in a health care environment. Knowledge of SystmOne is desirable but not essential as training will be provided.

Applicants must have the ability to work in a busy environment and prioritise work, demonstrate initiative and work flexibly, and have good IT skills, including knowledge of Microsoft Office packages.

Main duties of the job

Use and populate where the electronic record system (SystmOne) with accurate information regarding child health records on a daily basis, include scanning and uploading information from other services in a timely manner.

Follow agreed processes for dealing with emails on Outlook on a regular basis prioritising both urgency and importance, taking responsibility for signposting or dealing with queries regarding issues arising.

Photocopying and electronic filing accurately and securely.

Populate systems and databases required for service delivery.

Carry out clinical diary management, appointment, and room bookings.

Manage appointment bookings, updating electronic record system and sending appointment letters following Trust guidelines and targets.

Produce letters, minutes or memoranda using standardised Trust templates and ensuring accurate filing, recording and distribution.

Process incoming and outgoing mail, telephone, or written messages, distributing appropriately and in a timely manner.

Attend and participate in team and other meetings, ensuring any actions arising are completed within the agreed timescale.

Provide cover and support as requested during times of absence at a level commensurate with this band.

Liaising by telephone or in person with clients, colleagues, and other healthcare professionals in a positive, friendly, calm, and sympathetic manner, using good judgement to identify requirements in order to pass on information correctly or take appropriate action.

We have been working with other local NHS Trusts to create a new organisation, bringing together all community, mental health and learning disability services from across Hampshire and Isle of Wight. Subject to approvals, the aim is for the new Trust to be formed by July 2024.Project Fusion is the name for the programme to create the new combined NHS Foundation Trust. Good General Education. GCSE English or equivalent. ECDL or equivalent.

Desirable

RSA II typing or equivalent. Good Knowledge of SystmOne. NVQ2 or equivalent experience.

Experience

Essential

Working to strict deadlines. Operational Support. Must be able to work without direct supervision and under pressure.

Desirable

Knowledge of hospital/clinic procedures and systems.
