An exciting opportunity has arisen for anexperienced, motivated, and hardworking individual to join our team asReceptionist/Administrator. This will include contact with patients face toface and over the telephone in a busy setting. The successful candidate willalso perform administrative duties
Main duties of the job
Job Summary :
Receive, assist and direct patients in accessingthe appropriate service or healthcare professional in a courteous, efficientand effective way.
Provide general assistance to the Practice Team andproject a positive and friendly image to patients and other visitors, either inperson or via the telephone.
Undertake a variety of administrative duties toassist in the smooth running of the practice including the provision of clericalsupport to clinical staff and other members of the practice team.
Covering for colleagues when on holiday or offsick.
To attend staff and team meetings as necessary.
To provide reception cover for extended hoursopening as requested.

We are a friendly practice, with the emphasis onteamwork. Our clinical team comprises 3 GP Partners,1 Salaried GP, 1 Clinical Pharmacist, 2Nurse Practitioner Prescribers, 1 Practice Nurse, Nurse Asociate ,1 Midwife plus PCN staff.
Full administration support from 1 PracticeManager, Management Team plus Administrators

Duties & Responsibilities
Deliver all services to a high standard and in atimely, effective and efficient manner and in accordance with practice policy.
Act as first point of contact for day to dayenquiries from patients, healthcare professionals and other agencies. Act asthe face of the surgery when speaking to patients and other agencies atreception.
Answer telephones and other communications and dealwith associated tasks within delegated authority, passing on othercommunication as required.
Maintain, monitor and process patient appointments,dealing effectively with urgent requests and requests for home visits. Makenotes in patient records as required.
Register new, temporary, emergency patients andthose requiring immediate treatment.
Open, date stamp, distribute and scan post;undertake general administrative support, photocopying, filing, data entry,emails, stationery etc.
Process patient prescription requests, letters,forms, specimens etc as required, ensuring that they are signed off by theappropriate clinical lead. Process call and recall for appointments andreminders , chronic diseases etc.
Process patient information and enter onto thecomputer system; ensuring day books etc are up to date.
Ensure the safe collection and transportation ofspecimens etc. in liaison with Practice Nurses.
Open and lock premises and maintain security inaccordance with practice policies.
Scan, file and/or record patient information on adaily basis so as to support the practice principles of ensuring records are upto date and to maintain a paper free environment.
Communication
Work collaboratively as a member of the practiceteam; help develop and promote a positive working culture, taking part in andbeing involved in developing and improving contribution towards the success ofthe practice.
Communicating effectively across a wide range ofaudiences including patients, colleagues,carers, external bodies NHS/CCG.,hospital secretaries, medical students and other agencies as required.
Deal politely but assertively with all enquiries toachieve an outcome at first point of contact, wherever possible. On occasionwhen this is not possible, refer to the appropriate member of the clinical ormanagerial team.
Recognise peoples needs for alternative methods ofcommunications and respond accordingly.
Prioritising and planning own work activities toensure that all diverseoperational requirements are achieved.
Teamwork
Provide additional support during times of sicknessand holidays as required.
Work will be delegated to the post holder by thePractice Manager / Assistant Practice Manager
Work flexibly as a member of theReception/Administration Team ensuring that cover is provided at all times inaccordance with practice policy
Additional Skills
Acting as chaperone during consultations andnon-medical assistance in simple procedures with GPs as required.
All team members should ensure that all equipmentis in good working condition reporting any damaged equipment to the AssistantPractice Manager immediately. Also ensure that all aspects of the workingenvironment are kept clean and tidy.

To always present a polite and helpful approach tothe patients both face to face and via the telephone.
To be capable of working smoothly and efficientlyas a member of the Practice team.
The ability to be proactive and show initiativewhere team work is lacking.
To ensure good communication is maintained withinthe practice and external organisations.

You will be an integral part of the PHCT whose aimis to help and support the patients. You must be flexible enough to undertakeboth the urgent and non-urgent tasks which invariably occur in this environmentand which are not pre-identifiable.
The post holder will adhere to GDPR/PracticeInformation Security Policy at all times, in particular ensuring that there areno braches of confidentiality as a result of post holder actions.
Demonstrate a good understanding of ChildProtection and Safeguarding.
Administration staff will provide their ownuniform.
