Executive Assistant

The Executive Assistant & Office Manager will play an important role in supporting the CEO, Head of Investment, and the wider management team. This role includes managing complex schedules, coordinating travel, and serving as a key liaison with stakeholders. Responsibilities extend to HR operations, onboarding new staff, and assisting with hiring processes. The role also involves expense management, compliance support, and assisting accountants with financial tasks.
The individual will oversee smooth operation of the office and the team. With a focus on organisation, confidentiality, and problem-solving, the role ensures efficient administrative support across the company. This demanding role requires someone with a positive attitude, high IQ and EQ and ability to work well under pressure.
Key Responsibilities:
Executive Support
- Diary Management: Manage and coordinate calendars for the CEO and Head of Investment, including scheduling meetings and calls. Act as a liaison between executives and internal/external stakeholders.
- Travel Coordination: Plan and manage travel arrangements, including itineraries and in-between meeting logistics.
- Documentation: Handle printing, scanning, and organizing materials as required.
Human Resources
- Onboarding: Support the onboarding process for new staff, including conducting Right to Work checks and preparing contracts.
- HR Operations: Manage the HR inbox, assist with recruitment processes, and ensure efficient communication with candidates.
Finance & Compliance
- Expense Management: Collate and prepare expenses for submission to the accounting team.
- Banking Support: Assist accountants with bank account applications.
- Compliance: Assist the in-house legal in managing compliance forms and ensure proper documentation.
Marketing & IT Support
- Marketing Assistance: Provide support for marketing initiatives and website updates.
- Tech Troubleshooting: Act as the primary contact for IT issues, liaising with remote IT teams when needed.
Office Management
- Event Coordination: Organize team events such as Christmas parties, birthday gifting, and other celebrations to maintain a positive office environment.
- Boardroom Scheduling: Manage boardroom bookings and coordinate meetings with reception staff.
- Supplies & Equipment: Oversee the purchase and maintenance of office supplies and equipment.
- Building Management: Serve as the primary point of contact for building management and handle any related communications.
Ad-Hoc Support
- Execute any other tasks assigned by the management team, including running errands and other administrative duties.
Skills & Qualifications Required:
- Education: Degree-level qualification.
- High IQ and EQ
- Organisational Skills: Exceptional ability to multitask, prioritize, and manage time effectively.
- Communication Skills: Strong written and verbal communication abilities.
- Technical Proficiency: Familiarity with Microsoft Office Suite, Teams, Adobe tools, Google Workspace, and DocuSign.
- Confidentiality: Demonstrated discretion in managing sensitive information.
- Problem-Solving: Strong critical thinking and decision-making skills.
- Adaptability: Tech-savvy and proactive in resolving issues independently.
Salary up to £65,000.00 annual + discretionary bonus and private medical insurance
