The Logistics Coordinator will be responsible for the arrangement and coordination of clinical shipments including starting material and drug product. Working closely with the logistics providers to monitor every shipment and report back to the internal team essentially Clinical and CMC teams. Working within a team, the Logistics Coordinator role will sit within Supply Chain, providing a link between the clinical team and supply chain. The Logistics Coordinator will work within a GMP environment, process documents according to SOPs regarding shipping and packaging, following both GMP and GDP compliance. Any deviation is to be reported and managed following the QMS to ensure all findings are recorded and support the supply chain team in operating under GMP and GDP for receipt, storage, use and distribution of materials. The successful candidate will also work collaboratively with other teams in CMC Development and QA, Regulatory and Finance to develop good working relationships across the organisation.

MAIN RESPONSIBILITIES


  • Manages and coordinates Investigative Clinical Product shipments, at various stages of completion (Cell Bank, Drug Substance, Starting Material, Finished & Labelled Drug Product) from and to:

Contract Manufacturing Organizations (CMOs)

Internal manufacturing facilities

Warehousing/Packaging/Labelling/Shipping vendor(s)

Clinical Study Sites

  • Implement logistics plans, tracks, reports, and manages to KPIs for both internal logistics activities and vendor performance, together with the Logistics Manager.
  • Generates purchase requisitions with logistics service providers such as transit carriers, import/export documentation service providers, Brokers, etc.
  • Reviews & approves Invoices for these vendors
  • Monitor performance of these vendors and escalate any issues
  • Support RFI and RFP exercises to identify alternate vendors
  • Maintains a current understanding of EU/ROW import/export regulations as needed,
  • Ensure all documentations required for the shipments are in place working with the logistic provider and internal functions
  • Manages internal and external resources to drive urgency and efficiency in cross-border activities.
  • Ensures logistics coordination with corporate compliance and regulatory, where appropriate.
  • Serves as an ad-hoc member to program and clinical teams to inform on status of operation to support the teams balance program plans with exceptional risk.
  • Support Logistics Manager with the leveraging of the latest innovations within logistics (e.g., cryo shipping/handling, import/export management) and the periodic performance of business continuity assessments to develop plans and advance recommendations to ensure supply chain operations are effective, efficient, and compliant.
  • Seek good visibility of the Clinical demand through Supply Chain function and Management.
  • Establish and maintain in close relationship with QA, regarding shipping requirements and documentation and to address any potential deviation.
  • Work closely with the Production Planner to manage the supply, collection and storage of temperature-controlled shipments, associated transport details and in-shipment temperature monitoring devices.
  • Draft and maintain SOP’s related to shipping and distribution and related packaging and labelling operations.
  • Recording all activities and deviations within the QMS.
  • Identify new working practices to streamline / standardise processes.
  • Act and support the team effort in identifying risk assessments related to shipping or vendor management.
  • Support and mentor/ train more junior members of staff


ESSENTIAL EXPERIENCE


  • Experience in a GMP and GDP Manufacturing environment, supply chain management
  • Good understanding of GMP and GDP requirements for logistics management
  • Work co-operatively as part of a team as well as independently
  • Good attention to detail and record keeping
