The agency is seeking a proactive and organized Operations Assistant to support the smooth running of daily operations, ensuring efficiency and contributing to our continued growth.

As an Operations Assistant at Velo, you will play a key role in maintaining operational excellence across the agency. You will work closely with and report to the Studio and Operations Manager and collaborate with all teams to ensure the agency’s processes, systems, and resources are running efficiently. This role offers an exciting opportunity to contribute to the inner workings of a fast-paced, dynamic B2B agency.


Essential Qualifications:


  • Experience in an administrative, operations, or similar support role.
  • Strong organizational skills with the ability to manage multiple tasks and priorities.
  • Excellent communication skills and a collaborative mindset.
  • A proactive approach with problem-solving skills and a can-do attitude.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint) and comfortable with learning new software tools.
  • Be within a commutable distance of our London Bridge office.


Key Responsibilities:


  • Assist in the daily operations of the agency, ensuring smooth and efficient workflow across all departments.
  • Support the Operations Manager in implementing and maintaining operational processes, including scheduling, resource allocation, and systems management.
  • Coordinate internal meetings and events, prepare agendas, take minutes, and follow up on action items.
  • Manage office supplies, equipment, and facilities to ensure a well-maintained and productive work environment.
  • Handle administrative tasks such as document management, data entry, and correspondence.
  • Assist in onboarding new employees, ensuring they have the necessary tools and resources to start successfully.
  • Collaborate with finance to track and manage expenses, invoicing, and procurement.
  • Support the coordination of training sessions and team-building activities, contributing to a positive and engaged work culture.
  • Provide ad-hoc support to the leadership team and assist with special projects as needed.
  • Regularly review and recommend improvements to current processes to enhance efficiency and effectiveness.

  • Collaborate with all teams to ensure processes align with the agency's needs and are consistently followed.
  • Provide insights and feedback to help improve operational workflows and internal communication.
