The Opportunity


We are seeking a highly organised and detail-oriented Facilities Coordinator to join our team.


As a Facilities Coordinator, you will be responsible for ensuring the smooth operation and maintenance of our facilities. Your role will involve coordinating and overseeing various aspects of facility management, including maintenance, repairs, security and safety.


The ideal candidate will have excellent communication skills, strong attention to detail and the ability to multitask effectively.


Main Responsibilities


Manage Internal helpdesk for the client account. Raising and tracking tasks through to completion.


Manage tasks through to complete and proactively chase to close out overdue tasks.


Track progress against pre-determined KPI’s including measuring response times.


Track rectification times and implement escalation procedures where necessary.


Report back to clients and contract staff on job progress and open tasks.

Take responsibility for uploading maintenance records/compliance certificates.


Upload and amendment asset information as held in the helpdesk database.


Manage escalations in a proactive manner which minimises impact to the client.


Annually cleanse and refresh the electronic register to incorporate updates.


Support new building openings.


Collate quotes from suppliers and monitor spend against pre-agreed values.


Coordinate suppliers to meet strict deadlines ensuring satisfactory opening.


Ensure helpdesk software reflects accurate data for all locations in scope.


Proactively monitor services and contracts with the aim of identifying solutions.

Suggest improvements to processes and procedures where possible.


Challenge vendor costs when they deviate from the norm.


Liaise with Regional Managers to maintain information flows.


Complete monthly supplier reviews alongside clients FM team to ensure supplier performance and compliance.


Field internal calls on behalf of the client to assist with raising tasks, chasing updates or providing responses to key clients, customers and stakeholders.


Develop a thorough working understanding of the service delivery requirements of the contract in relation to the allocated stores under your co-ordination.


Build relationships and trust with stakeholders internal and external across multiple regions.


Develop skills and knowledge to utilise both Head Office and Client systems to maintain, update, extract and ensure data integrity.


Work closely with fellow Facility Co-ordinator team members.


Adopt and embody the Macro values.


Regularly attend Macro communication cascades to keep abreast of current developments.


The ideal candidate will have:


Previous experience in a similar role.

Experience of administering multiple activities within the day.

Intermediate IT skills with a good working knowledge of Microsoft Word & Excel.


Good organisational skills.


Experience of FM help desk software such as Service Channel.


Experience of working in Facilities Management in the retail environment


Ability to think "out of the box" and to bring creative solutions to the table.
