The Academic Officer role at IATE is responsible for the smooth running and administrative oversight of some of the Institute’s art therapy trainings. These training programmes are undertaken by adult students and are able to provide access to our post-graduate clinical trainings, which are validated by the University of East London (UEL), our partner university.

The Academic Officer role is one of three similar roles, working closely with three Course Directors, in a small team. The role will be based in our new Sugar House Island office (E15) and will provide administrative and academic support to the academic team and student cohort. The Academic Officer will also liaise closely with the Sales and Admissions Executive, Business and Finance Manager and Head of School.

DUTIES AND RESPONSIBILITIES:

The Academic Officer role is responsible for the administrative co-ordination of several art therapy trainings, including responsibility for:

  • ‘Onboarding’ students
  • Ensuring all timetables are accurate by working in conjunction with the Course Directors
  • Ensuring the course handbook is devised and compiled in a timely way, and in line with UEL requirements
  • Supporting academic staff to ensure all course materials are prepared and accessible to students
  • Overseeing and updating all Moodle materials and communication With Head of School, ensuring any students with SpLD are supported in a timely manner
  • Co-ordinating all staff and student liaison meetings, taking and circulating minutes and working with Course Directors to ensure actions are implemented
  • Ensuring all course related queries and student concerns are responded to promptly and courteously
  • Co-ordinating essay submission deadlines, taking into account any extenuating circumstances
  • Collating and recording all student attendance Administering zoom meetings
  • Reconciling payment for courses, ensuring timely payment of course fees

PERSON SPECIFICATION:

The applicant will have very strong, verifiable administrative skills, preferably in an HE background. As well as excellent attention to detail and confidence with working with a variety of systems, they must have excellent interpersonal skills and be confident with speaking to and liaising with the academic team members and student cohort. A working knowledge of Microsoft 365 is essential.

QUALIFICATIONS/AFFILIATED REGISTRATIONS:

A good honours degree and/or relevant administrative experience.

SALARY DETAILS/HOURS WORKED/ADDITIONAL BENEFITS:

This is a full time role (1.0 FTE) with a salary of £35,000 and 30 days leave per annum, including Bank Holidays. Based in a fun and lively office in east London with a supportive and friendly team, the role offers excellent opportunities for CPD as well as office perks such as take out lunches and coffees.
