Role Summary
The Senior Administrative Assistant, is responsible for supporting the Americas, Asia-Pacific, and EMEA (AAE) General Manager, EMEA General Manager, and the Strategic Partnership Program Manager. The individual leverages the AAE General Manager and EMEA General Manager time by managing the day-to-day office activities and acts as an intermediary on their behalf. This person will have a dotted reporting line into the Executive Assistant for the Head of AAE Distribution, who ensures coordination of administrative practices for the business. The individual works independently with limited direction and has a thorough knowledge of the organization. The position requires a global mindset and the use of sound judgment, confidentiality and both the ability and flexibility to work across time zones to provide high-level coordination and support with minimal supervision.
Role-specific Responsibilities
- Provide executive-level administrative support to the AAE General Manager and EMEA General Manager to ensure that they are prepared for all meetings and carry forward action items. Some of the main duties include calendar management, meeting preparation, expenses, executing on-sites, travel and correspondence.
- Provide support for the Strategic Partnership Program Manager, including client meeting scheduling. Coordinate and manage the internal execution of global client meetings, including greeting guests in the office; material production; prep material packet compilation; scheduling; logistical arrangements (reserving meeting site, catering, security notifications); and liaising with participants, subject-matter experts, and vendors. These engagements are organized in-house, virtual or with outside vendors.
- Support committee-level coordination by facilitating communications, ensuring adherence to timelines, and aligning resources to meet objectives efficiently. Serve as a central point of contact for collecting materials, capturing meeting notes and follow up items.
- Support and maintain the AAE/EMEA Business Management record keeping including holidays, sickness, travel and overseas visitors.
- Provide accurate data and information to others on program updates, including processes and procedures as requested. Manage distribution lists, submit IT requests, and ensure team has required tools (e.g., hardware) to be effective.
- Work closely with other executive and regional administrative assistants and teams to increase efficiencies. Be an advocate for AAE Distribution when representing the team in internal administrative meetings.
- Work independently to prioritize and complete complex requests in a timely manner. Requests may be highly sensitive and confidential.
- Coordinate recruiting activities and onboarding new hires including managing onboarding plans and technology setup.
- This role will have a dotted line into the Executive Assistant for the Head of AAE Distribution, and therefore the individual must be comfortable to work in a matrixed and team structure.
PERSONAL ATTRIBUTES / SKILLS / QUALIFICATIONS:
- Previous executive or senior level administrative support experience (at least 3+ years)
- Self-starter with proven ability to work independently with limited degree of supervision.
- Global mindset and willingness to work flexible hours to support needs of clients and colleagues.
- Strong verbal and written communication skills, organizational skills, and proven ability to multi-task
- Discrete, trustworthy & dependable: will often be party to confidential information.
- Flexible & adaptable: will be required to be a cover buddy with one other Executive Assistant
- Proficiency with Microsoft applications including Outlook, Word, Excel, and PowerPoint.
- The ability to adapt to corporate systems (e.g., Salesforce, DataServ, MyExpenses, Concur, etc.)
Creativity when assisting with senior presentation's and managing SharePoint sites.
