Key Responsibilities:

  • To work as part of a team, providing a range of pastoral administrative support for the Director of Learning (DoLs) and Senior Leadership Team (SLT)
  • To support the development of effective and efficient pastoral systems and processes, including the Academy’s detention and rewards systems
  • Accurately log all suspensions, exclusions, detentions and formal warnings on SIMS (Student Information Management System)
  • Send daily detention communication to parents via SIMS In Touch and circulate the detention list to academy staff
  • Organise weekly and termly pastoral meetings, prepare and distribute paperwork for meetings, minute all agreed action points and distribute to all relevant staff members
  • Confirm appointments and manage calendars, room bookings and paperwork for senior pastoral staff (DoLs and SLT)
  • Generate behaviour, achievement and attendance reports for any upcoming behaviour meetings
  • Create and maintain red flag lesson timetable, emailing invites to allocated staff to support lessons
  • Support the coordination of rewards for students (for example, by using student data to inform award recipients)
  • Purchase resources for the pastoral department in liaison with the Finance Department
  • Generate and mail merge all pastoral letters in relation to behaviour, attendance and punctuality data
  • Generate suspension exclusion letters and send to parents/carers and any relevant agencies (i.e Local authority, social services)
  • Update and share formal warning tracker weekly, highlighting any students who have met the threshold for formal warnings, schedule meetings and prepare relevant paperwork
  • Liaise with relevant KAA staff, parents/carers, and external agencies on start dates and times and paperwork in relation to managed moves and transfers
  • Collate all end-of-placement reports for pastoral provision including mentoring, alternative provision placements, managed moves etc
  • Oversee and maintain accuracy of behaviour incidents on SIMS, flagging up any inaccuracies to the relevant staff members

Other administrative responsibilities:

  • To support with the administration associated with Parents’ Evenings, Open Evenings and other key Academy events, providing front-of-house support where required
  • To cover Receptionist and Welfare Officer staff during breaks and absences as and when necessary
  • To undertake other related duties which may be required from time to time within a reasonable workload
  • To undertake training and development relevant to the post and in line with the Academy’s priorities
  • To maintain a presence around the school to ensure that the highest standards of behaviour and site-usage are upheld
