Join Us as a People & HR Office Assistant

We are revolutionising the engineering industry with our generative design tool. As a People & HR Office Assistant, you will be joining our passionate team of software engineers, scientists, and academics.


What You Will Be Doing:


PA/Administrative Support:

  • Provide comprehensive PA support to Marco (CEO) managing his calendar, travel arrangements, and expenses.
  • Assist Marco with various ad-hoc tasks and projects, ensuring efficient time management and communication.


Talent and Recruitment:

  • Manage supplier relationships and coordinate the recruitment process, including screening, interviewing, and providing feedback to the team.
  • Oversee advertising, applicant tracking, ensuring a positive candidate experience from start to finish.


Onboarding:

  • Facilitate the interview process, manage the candidate journey, and ensure smooth preboarding and onboarding.
  • Schedule touch points within the probation period to ensure new employees are supported.
  • Culture and Employee Value Proposition:
  • Support initiatives related to salary, benefits, perks, progression, training and development to enhance our employee value proposition.


People& Culture:

  • Act as the main point of contact for internal communications, conducting 1:1 wellness checks, and gathering operational/business feedback.
  • Plan and coordinate our monthly team extreme and non – extreme socials.

Office Management:

  • Maintain and manage the office environment, including overseeing coffee machine maintenance, placing snack orders, coordinating office reconfiguration, ensuring office cleanliness and ordering necessary equipment.


HR Administration:

  • Add new employees to 365 and other relevant systems, ensuring a smooth onboarding process.
  • Update and maintain the Employee Handbook, ensuring it reflects the latest company policies and procedures.
  • Assist in managing SLA’s, contracts, and NDAs as required.
  • Develop and maintain standard operating procedures (SOPs) for various office and HR-related processes to ensure efficiency and compliance.
  • Manage holiday, sickness, and allergy records using Charlie HR, ensuring accurate and up-to-date records.
  • Assist in managing visa processes for employees as needed.


What Do We Need From You?

  • 4+ years of experience in a similar B2B PA, administrative, recruitment and/or HR support role.
  • Strong attention to detail, organisational and multitasking skills.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office.
  • Knowledge of HR processes and best practices is a plus.
