JOB SUMMARY

Quintessentially Travel is a global lifestyle travel management company which operates both as a travel agent and tour operator. This role is based in our London Head Office and is a full time office based position.


The role is acting as support to the travel sales team and presents an excellent opportunity to work for a prestigious company in the luxury travel field. It is an opportunity to develop your knowledge of worldwide destinations whilst providing an understanding into how a bespoke luxury travel sales company works.

The candidate will need to be flexible to business needs including attending supplier and consumer facing events.


KEY DUTIES

•Acting as support for the sales team with booking processes

•Liaising with Sales Consultants on their sales and keeping record of these

•Calculation of quarterly and annual incentive prize scheme across various areas of the company

•Assisting the Sales Consultants with additional office tasks

•Creating detailed, often complex, itineraries for a variety of destinations and clients

•Liaising with worldwide hotels, lodges and ground agents in order to find out rates and availability

•Liaising with Quintessentially Lifestyle Managers

•Comprehensively capturing all client information as required by the system

•Working to tight deadlines, in an accurate and time efficient manner

•General administrative tasks

•Assistance where required with the emergency phone rota


GENERAL

· Make sure all cost sheets are up to date, so in the event of absence your colleagues are able to pick this up on your behalf

· Proficient IT skills, confident with Microsoft office programs, especially Word and Excel

· Make sure emails are managed and all responses replied to in a timely fashion

· Managing requests in line with agreed deadlines, either with members or Lifestyle Managers

· Comprehensively capture all client information as required by the system

· Take responsibility for problem solving to maintain client service levels

· Ensuring members are made aware before booking of all relevant terms and conditions

· Attend team meetings/1 to 1s with manager to remain up to date with company and department news and your own development

· Share own product knowledge through meetings and reports following familiarisation trips

· As one of the top professionals in the QT team, you will be expected to attend corporate, member or internal meetings to promote the travel service to existing and prospective members, clients and colleagues

· Represent the company at client events and trade exhibitions in a professional fashion


HOURS OF WORK

Contractual hours are from 0900 to 1730 Monday to Friday.

However, it may be the case that in order to fulfill the duties of the role, different or additional hours may be necessary.


REQUIREMENTS:


•Confident self-starter

•Preferred knowledge of a sales and/or luxury travel working environment

•Administrative knowledge

•Excellent verbal and written communication skills and telephone manner

•Proficient IT skills, confident with Microsoft office programs, especially Word and Excel

•Excellent attention to detail and a quick worker

•Excellent time management

•Hard working, organised and ability to multi-task

•Willingness to learn with a positive outlook

•A passion for travel and a desire to develop your knowledge of suppliers and destinations through desk research, study of specialist consumer and industry publications, industry networking, and regularly update your travel colleagues including formal training sessions
