ROLE LOCATION & CONTRACT


This role will be based in our office in Southampton Monday- Friday 09:00-17:30.


This is a temporary contract running up to 1 year.


BASIC PURPOSE


The position holder will be front of house and be responsible for delivering an outstanding customer service to colleagues and visitors. Responsibilities include greeting visitors in a courteous and professional manner, informing colleagues of their arrival, organising incoming and outgoing post, ensuring the smooth running of the office facilities.


DUTIES & RESPONSIBILITIES


  • Responsible for the answering and routing of incoming calls to the Switchboard
  • Distribution of incoming mail
  • Preparation and franking of outgoing mail
  • Greet visitors to NCL and ensure they sign in, managing ‘signing in app’ and hardware
  • Open all post and distribute to relevant departments in a timely manner.
  • Book meeting rooms for all areas & depts.
  • Tracking and filing facilities related invoices
  • Organises and tracks all couriers that are to be sent out/ received
  • Daily duties such as milk collection and restocking kitchens
  • Responsible for keeping stationery and kitchen items ordered and well stocked (ordering office supplies, stationary, inc groceries).
  • Managing cleaners and their service levels
  • Responsible for issuing car parking passes and tracking them using Excel Spreadsheets, liaising with Southampton Council and Finance department with credit top ups of balances and invoices
  • New Vendor & invoicing set ups
  • Sends out all IT Equipment for remote team workers via secure courier service, on behalf of IT Team
  • Arranges collection of IT Equipment for any remote team member leavers via secure courier on behalf of IT Team
  • Note taker when required
  • Support the Social Committee & the chair of the Social Committee with events, organizing company/engagement events


EXPERIENCE


  • Have previous experience of working in a Reception/Administration environment with excellent telephone manner, organizational and computer skills for at least 1 year.
  • Computer literate – Outlook, Word, Excel, PowerPoint, One Note
