We are recruiting for a newly created role due to expansion for a International investing Bank in the City.

This role is working both Office Manager/Reception and the Investment team Executive Assistants.

A varied role supporting some highly professional


This position is initially for 3 months, with a view to permanent.


Investment Banking Assistant duties

  • Document production as and when required including preparation, printing and binding
  • Monthly management of the travel & expense process across the London 18 team - knowledge of Concur would be an advantage
  • Support Admin team with DealCloud updates, including adding new contacts and interactions
  • Assist banking and other staff with travel arrangements including trains, car transfers and accommodation
  • Assist with researching restaurants and making reservations
  • General administrative support: booking couriers, taxis, meeting rooms, organising team and office events
  • Other adhoc tasks as/when required to ensure the efficient running of the office

Support the office administrator with the following duties:

  • Answer and direct all telephone enquiries
  • Welcome clients and escort to their meetings, arranging drinks and Wi-Fi access
  • Organise in-house breakfasts and lunches when required
  • Distribute all incoming mail arrange posting of all outgoing mail
  • Maintain reception and all meeting rooms in a clean, tidy and presentable manner
  • Book meetings into the Wallchart system on request
  • Assist in managing the London Facilities and Conference Services lnboxes
  • Stock meeting rooms with refreshments and stationery regularly
  • Upkeep of the stock level of stationery for staff/client use
  • Coordinate weekly grocery orders
  • Assist with marketing/corporate events, including attending events, as and when required
  • Cover maintenance issues in Office Manager's absence
