Job Summary

The Executive Assistant reports to two VP’s.

Meeting and Event Planning/Preparation

  • Organizes and attends meetings, as and when required
  • Develops agendas and prepares meeting materials (such as presentations / reports)
  • Co-ordinates stakeholders globally
  • Organising appointments and meetings, this includes coordinating stakeholders across our sites in Europe and Globally
  • Plans and organizes attendance to various board and management meetings
  • Supporting the EMEA management team as and when required

Admin

  • Coordinates complex calendars
  • Creating schedules for trips
  • Booking travel; flights, cars, hotels etc.

Communications

· Maintains confidentiality and deals with information that is highly sensitive

  • Deals with correspondence, takes dictation / minutes
  • Able to communicate clearly with the team and stakeholders
  • Ensuring relevant internal and external stakeholders are aware of relevant commitments, and any documents required are received and distributed in a timely manner
  • Screening telephone calls and emails, dealing with enquiries and requests, whilst handling them in an appropriate manner

Special Projects

· Coordinates special projects as needed

Budgeting and Expense Management

  • Processes expense reports and POs and proactively manages to completion
  • Manages departmental budgets
