The Administrator will be an integral part of the Transfer Processing team, responsible for efficiently managing and processing client asset and cash transfers. The role involves ensuring timely and accurate handling of non-market transfers, coordinating with market counter parties, and performing relevant checks and controls to maintain compliance with regulatory standards. The position requires attention to detail, problem-solving capabilities, and strong communication skills to interact with internal and external stakeholders.

Key Responsibilities:
1. Administration & Documentation:

  • Manage all aspects of administration related to clients' cash and asset transfers.
  • Adhere to departmental procedures, controls, and up-to-date industry standards.
  • Perform daily, weekly, monthly, and annual checks to ensure compliance and accuracy.
  • Document and maintain up-to-date records of all transfer processes.
  1. Day-to-Day Operations:
  • Input non-market securities transfers into the firm's internal systems, handling transitions in and out as needed.
  • Conduct relevant controls on new security lines before acceptance for transitions.
  • Schedule trade and settlement dates with market counter-parties for transitioning portfolios, including cash and securities.
  • Continuously monitor the progress of transitioning securities to ensure timely completion.
  • Investigate and resolve failed or unmatched transfers, liaising with internal departments and external custodians.
  • Monitor and control non-client assets received into the firm's accounts, ensuring they are processed correctly.
  • Respond promptly and professionally to any queries, maintaining a positive and collaborative approach.
  1. Special Projects & Systems:
  • Support departmental projects, including process improvements and new system implementations.
  • Participate in system testing for enhancements and fixes; assist with periodic regression testing of internal systems.
  1. Compliance & Risk Management:
  • Work within the firm's regulatory framework and compliance standards.
  • Maintain professional competence through ongoing training and development courses.
  • Ensure adherence to FCA regulations, especially CASS and MiFID II Transaction Reporting.

Qualifications, Skills, and Experience:

Essential:

  • 1-3 years of experience in a trade support, settlements, or transitions role, with a focus on:
  • Processing transfers within Crest.
  • Market practices for overseas securities transfers.
  • Transfers within the funds industry.
Familiarity with the Equisoft/ATG(Altus) transfer platform. Knowledge of FCA regulations, particularly CASS and MiFID II Transaction Reporting. Understanding of market practices relevant to Private Clients.

Advantageous:

  • Knowledge of HMRC tax implications related to securities transfers involving a change of beneficial owner.

Academic/Other Skills:

  • Educated to a minimum of A-level standard, with a minimum of Grade C at GCSE English and Maths.
  • Preferably holding an IOC or equivalent CISI qualification, or willingness to work towards achieving it.
  • Strong written and verbal communication skills.
  • Ability to work accurately under pressure and maintain high standards.
  • Attention to detail and ability to work with minimal supervision.
  • Proficient in MS Excel and other IT tools.
  • Reliable team player with the ability to collaborate effectively across teams.
