Overview

To provide ongoing support to the Facilities Manager, as and when required, and more specifically to ensure that the wider Facilities team provides the required support to all Waytone departments located in Central Square, Leeds and where relevant according to all local SLA’s.


Key Accountabilities and main responsibilities


Strategic Focus

  • To act as the point of referral for the FM team in the absence of the Facilities Manager.
  • To assist the Facilities Manager with the implementation of FM projects to deadline and within budget.
  • To ensure that all relevant measures and procedures are maintained to enable an effective blended working environment across all Waystone operational floors.


Operational Management

  • To ensure that cleaning standards on Waystone operational floors are being met and to attend all regular on-site meetings with the soft-services provider.
  • Responsible for the provision of all lockers and on-site storage in accordance with a blended working environment.
  • Assist with requests to local FM team regarding maintenance and repairs as and when required. Ensure that all contractors are logged and the relevant access control passes are distributed.
  • Responsible for the opening, sorting, date stamping, and distribution of all non-Corporate Markets incoming mail including Registered and Special Delivery mail.
  • Responsible for all non-Corporate Markets outgoing mail including Registered and Special Delivery mail. This includes the dealing of enquiries from members of staff where there may be a consequence of breaches occurring.
  • Responsible for the logging and distribution of all non-Corporate Markets incoming mail sent via couriers.
  • Responsible for all coffee machines and associated equipment and to ensure these are maintained as per the relevant contract. These must be checked and re-stocked as and when required via the on-site daily cleaner.
  • Responsible for all stationery and printer stocks and to ensure these are monitored and re-ordered as necessary.
  • Responsible for all printed stationery/IT consumables, to carry out regular stock checks and re-order as necessary.
  • To assist with local DSE risk assessments as required.

  • To assist with the development of team members.
  • To commit to own personal development.


Governance & Risk

  • Each member of the FM team has a responsibility to adhere to Waystone Group policies and procedures. In particular, this will ensure that operational controls are carried out in accordance with laid down procedures and to ensure the ongoing mitigation of business risk. In this regard, regular mandatory training should be completed in a timely manner and within the required timescales.
