Responsibilities:
- Work on regional weekly team meeting planning, overseeing the running of the London team, ensuring team meetings are planned ahead, with no clashes and agendas are set
- Managing the social calendar for the year, including the budget
- Ability to work in a high performing culture, under pressure and with time-sensitive deadlines
- Planning ahead in the calendar and assisting Principals on preparing culture and priorities sessions, including questionnaires, confidential surveys
- Provide high level diary and admin support to senior staff
- Provide diary, travel, expense support to several other executives within the team
- Book and manage complex global travel arrangements, itineraries or other duties related to support professionals who travel globally
- Manage calendars on behalf of executives over multiple time zones, working with other departments’ to coordinate meeting booking
- Work closely with external partners, assistants, vendors and other stakeholders to schedule meetings or events in various countries and cities around the world
- Reconcile credit card expenses and input into the Global Expense Reporting System
- Ensure team members are prepared for all meetings and carry forward action items
- Handle highly sensitive and confidential matters relating to the daily activity of the department and/or organization
- Work cross functionally as part of a team with other members and departments
Qualifications
- Experience in C-suite level EA role at a minimum
- Worked in a fast-paced, professional environment
- Experience providing support to multiple professionals and managing competing priorities.
- Experience with calendar management, booking high profile meetings, events and managing complex expense reimbursement process
- Working knowledge of MS Office (Word, Excel, PowerPoint, Outlook, Calendar) and comfort and interest in learning new applications
- Extremely motivated, eager to learn, adaptable, calm under pressure and professional.
- Proven attention to accuracy and detail, highly organized with the ability to prioritize and multi-task
- Exceptional (written and verbal) communication and interpersonal skills
- Able and willing to work flexible hours, as required
