Job Description:

We are seeking a diligent and experienced Operations Director to join our dynamic team. This role is integral to maintaining our high standards of service by managing our stock levels and ensuring that all operational KPIs are met. The successful candidate will work closely with the Chief Operations Officer (COO) and be a pivotal part of our growth strategy.


Key Responsibilities

  • Monitor and manage stock levels to ensure there is enough medication on the shelf each day, based on growth forecasts and patient demand.
  • Place purchase orders (POs) and coordinate with wholesalers to maintain adequate stock levels.
  • Update and maintain accurate records in our Customer Relationship Management (CRM) system regarding stock levels and deliveries.
  • Monitor the formulary, stock levels, and utilisation to ensure optimal inventory management.
  • Analyse operational KPIs to identify any discrepancies or areas for improvement in delivery times or stock management.
  • Investigate and resolve any issues related to high KPIs or delayed delivery times, collaborating with relevant team members to ensure swift resolution.
  • Report directly to the COO, providing regular updates on stock status, operational efficiency, and any critical issues that need attention.
  • Ensure compliance with all regulatory guidelines pertaining to the distribution and storage of medical cannabis.
  • Develop and implement operational strategies to improve efficiency and support company growth.
  • Lead and mentor the operations team, fostering a culture of excellence and continuous improvement.
  • Work with global licensed producers (LPs) to procure and maintain medical flower and oil products.
  • Reduce patient time in receiving their medical cannabis to 3-5 days.
  • Monitor doctor utilisation and ensure quality supervision of staff with clear KPIs and career plans.
  • Highlight staffing gaps and address them proactively.
  • Monitor Trustpilot and all patient reviews to ensure high standards of patient satisfaction.
  • Create and maintain an audit tracker to review all policies and procedures regularly.


Qualifications

  • Proven experience in operations, stock management, or a similar role, ideally within the healthcare or pharmaceutical sector.
  • Strong understanding of supply chain management and logistics.
  • Excellent analytical and problem-solving skills.
  • Familiarity with CRM systems and proficiency in data management.
  • Ability to work independently and manage multiple priorities in a fast-paced environment.
  • Strong communication and interpersonal skills to effectively collaborate with team members and external partners.
  • Demonstrated leadership abilities and experience in managing a team.
  • Good understanding of KLOES ,and the requirements as a CQC-regulated provider
  • A clear understanding of the importance of Internal and External stakeholder management.
  • Understanding of SMARTER, and continuous monitoring of effectiveness.
