POSITION SUMMARY

Enviromena is seeking a highly motivated and experienced Personal Assistant to support the CEO and wider management team. This role requires a professional who excels in organisation, communication, and discretion. The ideal candidate will be proactive, adaptable, and capable of effectively managing a range of administrative and executive support tasks, ensuring time is used efficiently and productively.


KEY RESPONSIBILITIES

  • Executive Support: Provide comprehensive support, including scheduling, calendar management, and coordinating appointments and meetings.
  • Document Management: Draft, review, and edit documents, reports, and presentations as required. Maintain an organised filing system for easy access to important documents.
  • Communication Management: Serve as the primary point of contact for internal and external communications directed to the CEO. Handle emails, calls, and other correspondence with confidentiality and professionalism.
  • Meeting Coordination: Prepare meeting agendas, take detailed minutes, and facilitate follow-ups on action items. Assist with coordinating high-profile stakeholder meetings and presentations.
  • Travel Arrangements: Organise travel itineraries, accommodations, and transportation, ensuring seamless travel experiences.
  • Relationship Management: Maintain relationships with internal teams, external partners, and key stakeholders to foster a collaborative work environment.
  • Task Prioritisation: Effectively manage the flow of information and prioritise incoming requests to ensure agendas are optimised.
  • Confidentiality and Discretion: Handle sensitive and confidential information with the utmost professionalism and discretion.


QUALIFICATIONS

  • Education: Bachelor’s degree in Business Administration, Communications, or a related field preferred.
  • Experience: At least 5 years of experience in a similar role supporting senior executives; experience within the renewable energy or related industries is advantageous.


SKILLS

  • Strong organisational and time-management capabilities.
  • Excellent verbal and written communication skills.
  • High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with virtual meeting platforms.
  • Ability to handle multiple tasks, prioritise effectively, and work independently in a fast-paced environment.
  • Demonstrated discretion and professionalism in handling sensitive information.
  • Proactive, self-starter with a solution-oriented approach.
  • Strong interpersonal skills and the ability to build rapport with internal and external stakeholders.
  • Adaptable and resilient, able to respond to changing priorities with ease.
