This role provides comprehensive support to a Senior Management Team member and their wider organisation. The position requires a highly adaptable and proactive administrative professional who can also assist multiple business units, ensuring seamless coordination and efficient operations across the firm.The ideal candidate will thrive in a fast-paced, dynamic environment, demonstrate exceptional organisational and communication skills, and maintain a high level of professionalism and discretion at all times.Key ResponsibilitiesExecutive Support\tProvide high-level administrative support to a Senior Management Team member and their team.\tManage complex and demanding calendars, including scheduling internal and external meetings and conference calls across multiple time zones.\tCoordinate extensive domestic and international travel arrangements, including itinerary management, expense tracking, and invoicing.\tPrepare, edit, and format correspondence, presentations, reports, and other documentation.\tPrepare and distribute meeting agendas and materials, including PowerPoint presentations.\tProcess and submit weekly expense reports via Concur and handle paper submissions as required.\tManage invoice processing and tracking.\tHandle incoming calls and welcome visitors at the London office reception.\tMaintain confidentiality and handle sensitive information with the utmost discretion. Collaborate effectively with colleagues across the firm’s global offices and administrative teams.\tAssist in planning and coordinating office events, meetings, and conferences, including logistics and catering arrangements. Qualifications & Experience\tMinimum 5 years’ experience in an Executive Assistant or senior administrative support role within a fast-paced, professional environment.\tExperience in a smaller office setting and supporting multiple stakeholders is highly desirable.\tExceptional organisational skills and meticulous attention to detail.\tExcellent written and verbal communication skills.\tProven ability to prioritise and manage competing demands in a deadline-driven environment.\tStrong sense of professionalism, discretion, and integrity in handling confidential information.\tDemonstrated ability to build strong working relationships and collaborate effectively across all levels of the business.\tAdvanced proficiency in Microsoft Outlook, Word, Excel, PowerPoint, and SAP Concur.
