**JOB DESCRIPTION**
**JOB TITLE**: Medical Receptionist**REPORTS TO**: Practice Manager**ACCOUNTABLE TO**: GP Partners
**JOB SUMMARY**
Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way.
Provide general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone
**MAIN DUTIES AND RESPONSIBILITIES**:
**General Reception Duties**
- All telephone and face to face contact with patients must be conducted in a professional, friendly and helpful manner.
- Ensure all patient details are correct on the clinical system.
- Relay messages in an efficient and effective manner both to patients and GPs.
- Ensure your work area and reception is kept free of hazards.
- Work as part of a team with all practice staff.
- Participate in practice / staff meetings, staff training, development programs and performance reviews.
- Be aware and abide by all Information Governance in respect of data protection and confidentiality.
- Notify Practice Manager of any complaints or concerns from both practice staff and patients.
- Maintain professional at all times.
- Action repeat prescription requests and ensure that they are ready for collection by the patient within 48 hours, either on the computer or manually.
- Booking appointments in with the Clinical Team ensuring that the patients are being seen by the correct clinician for their needs.
- Dealing with Home Visit request following the correct practice procedures.
- Registering new patients following the correct practice procedures.
- Reporting Patient Deaths following the correct practice procedures.
- Complete filing of medical records following the correct practice procedures.
- Ensure any requests for medical forms taken are correctly documented by following the correct practice procedures.
- Being a chaperone for a GP/ANP when required.
- When a patient contacts the surgery, the Receptionists are responsible for checking the needs of the patient, in relation to their care and to the Quality and Outcomes
Framework.
- The needs of the service are paramount and thus other ad hoc tasks, may at times, be required to ensure business continuity which includes cover of other colleagues for holidays and sickness.
- Undertake any other additional duties appropriate to the post as requested by the
Partners or the Practice Manager.
**Premises**:
- Open up relevant rooms at the start of the day when first to arrive, de-activate answer machine message and make all necessary preparations to receive patients.
- When last to leave at the end of the day, ensure that rooms are secured, internal lights are off and answer machine message is activated.
- Ensure kitchen is kept clean and tidy.
**Confidentiality**:
- In the course of seeking treatment, patients entrust us with, or allow us to gather, sensitive information in relation to their health and other matters. They do so in confidence and have the right to expect that staff will respect their privacy and act appropriately
- In the performance of the duties outlined in this Job Description, the post-holder may have access to confidential information relating to patients and their carers, practice staff and other healthcare workers. They may also have access to information relating to the practice as a business organisation. All such information from any source is to be regarded as strictly confidential
- Information relating to patients, carers, colleagues, other healthcare workers or the business of the practice may only be divulged to authorised persons in accordance with the practice policies and procedures relating to confidentiality and the protection of personal and sensitive data.
**Health and Safety**
- Conduct yourself in a manner that will not endanger yourself or others.
- Follow the Practice’s policy and procedures.
- Any equipment failures, maintenance requirements must be reported to the Practice
Manager
- Any unsafe practices, hazards, near miss incidents and accidents to your Line
Manager, the Practice Manager or a GP.
- Maintain knowledge and practice correct infection control/hygiene precautions and adhere to the Practice’s Infection control Policies and procedures.
**Safeguarding Adults and Children**
The post-holder is responsible for sharing any safeguarding concerns appropriately by reporting these concerns to a the practice safeguarding lead Dr Kavitha Jacob or LynneLittle deputy safeguarding lead. Safeguarding is mainly aimed at people with care and support needs who may be in vulnerable circumstances and at risk of abuse and neglect by others.
