**RECEPTIONIST**

**POST: Receptionist**

**RESPONSIBLE TO: Practice Manager**

**Main Purpose of Role**:
The Receptionist role complements the work of the clinical staff in providing a high level of primary health care. You are expected to provide a full range of administrative functions which also includes reception duties.

Due to the nature of the role it is expected that you will conduct yourself with tact, empathy and remain pleasant to the general public at all times.

Particular attention is drawn to the confidential nature of this post.

**Administrative duties**:

- To assist the Practice Manager and Clinical Team with EMIS Clinical system searches to support the work around enhanced services and Local Improvement Schemes.
- To understand the importance of READ coding and undertake appropriate coding of medical correspondence
- To understand the relevant aspects of a patient’s medical history and assist with note summarising of both hard and electronic records.
- To understand the e-referral system and be able to type and compile medical letters to a high standard.

**Medicines Management**:

- Liaise with Clinical Staff and Practice Manager to develop systems and protocols to improve safety, quality and reduce waste.
- To understand the prescribing process from patient request through to pharmacy dispensing. This includes repeat dispensing and electronic prescribing.

**Reception Duties**:

- To prepare the surgery building for the reception of patients. Check clinical rooms as per guidelines.
- To manage the appointment system in liaison with the reception team.
- To take details of home visit requests or any messages for the clinical staff and ensure timely action of requests.
- To open and date stamp incoming mail.
- To register new patients in accordance with practice guidelines.
- To file hospital correspondence after it has been dealt with by clinical staff.
- To liaise between clinical staff and attached staff when appropriate.
- To ensure that at any staff changeover, all appropriate messages are dealt with or passed on.
- To be aware of general stock in the building and the process of ordering if supplies are low.

**General Duties**:

- To be aware of health and safety in the workplace, maintaining work and public areas in a tidy and safe way which is free from hazards thus protecting yourself and others.
- Reporting any concerns to the Practice Manager or the Partners.
- Use appropriate infection control procedures.
- Demonstrate a clear understanding of the practice complaints procedure.
- To work within the Information Governance framework.
- To actively participate in practice meetings.
- To attend relevant training courses where applicable. Supporting the development of the whole practice team by sharing learning.
- To participate in the annual appraisal process and using this to self-reflect on performance and identify areas for training and development.
- Support the Practice Manager and Clinical Team with ad-hoc projects or pieces of work, liaising closely with them to ensure timescales are met.
