Junior Office Admin Assistant

We are seeking a proactive and organised Administrative Assistant to support our legal and administrative teams. You will play a key role in ensuring the smooth running of daily operations, providing essential administrative support to fee earners, and helping maintain a professional and efficient office environment. This role is ideal for someone who is detail-oriented, organised, and enjoys working in a busy professional services environment.
**Key Responsibilities**
- Answer incoming calls, take messages, and direct enquiries to the appropriate person.
- Greet clients and visitors in a professional and welcoming manner.
- Handle incoming and outgoing post, couriers, and deliveries.
- Maintain filing systems (both paper and electronic) in accordance with firm procedures.
- Photocopy, scan, and bind documents as required.
- Assist with document preparation, formatting, and proofreading.
- Update and maintain case files and databases.
- Schedule meetings, manage diaries, and book meeting rooms.
- Support the preparation of correspondence, reports, and presentations.
- Liaise with clients, suppliers, and external contacts as directed.
- Ensure all work complies with the firm’s confidentiality, data protection (GDPR), and compliance policies.
- Follow office procedures in line with SRA requirements.
**Skills & Qualities**
- Strong organisational skills with excellent attention to detail.
- Good written and verbal communication skills.
- Ability to work effectively as part of a team and independently.
- Proficient in Microsoft Office (Word, Excel, Outlook).
- Professional, friendly, and approachable manner.
- Ability to manage multiple tasks and meet deadlines.
