**What you’ll do**:This role is to support the front of house, reception, answering the phone and general office administrative duties.

**Responsibilities and Duties**:

- Provide a positive reflection of Home Instead Charnwood to everyone you encounter - first impressions and meet and greet in the shop when on reception
- Ensuring that everyone that encounters Home Instead Charnwood feels positive with the interaction; clients, CAREGivers

**Reception General**:

- Answer the phone in a friendly and professional manner as first person, direct calls to most appropriate person, take messages, record and follow up
- Monitor the signing in and out of people for our records when on the front desk
- Monitor the CCTV via an app when working weekend etc if required

**Networking and brand awareness**:

- The key objective is to raise brand awareness and develop key relationships with professionals in the community that will refer potential clients to us.
- Sell Home Instead through presentations / workshops, highlighting the benefits of Home Instead Charnwood
- Communicating new product incentives for prospective clients including all our new innovative equipment (home aware)
- Identify potential new clients and pass on information
- Attending meetings, groups in the local community that may be interested to learn about our services
- Attend and exhibit at local fetes in the community and industry events if needed.
- To undertake all networking activity in the community to get our brand recognised locally
- Be an extremely motivational and enthusiastic face of the company out in the community
- Record all contacts and networking through our RPN networking app and portal
- Keep in touch regularly with these relationships to build and strengthen ie send Xmas card, Easter cards - new events news letters
- Follow a monthly / quarterly strategy to ensure relationships are maintained and strengthened

**Marketing and Social Media Support**:

- Ensure our website is current and up to date (new team members, news stories etc)
- Post on FB daily stories about us
- Use social media platforms including FB to form marketing campaigns for client growth
- Manage Google my Business and ensure 2 new reviews a week
- Monitor Google Analytics (we have a digital marketing agency that manages the complicated stuff)
- Instagram
- Support with the organisation of printed or event marketing admin
- Hold one community event each month (to build brand awareness) - when appropriate to do so (ie dementia coffee morning at the shop)
- Monthly PR campaign - seasonal themes and match shop window displays, trees
- Quarterly Press paper campaigns (write news letter)
- Monthly theme ie Xmas jumper day and client enhancements
- Consider posters marketing message monthly / quarterly
- Ensure all local area have our poster featured
- Consider paid for and ad-editorial marketing

**Finance Admin**:

- Scan and upload invoices to Xero
- Support Jade to upload CAREGiver expenses, mileage and generate CAREGiver payroll
- Support Jade with posting client invoices

**Recruitment Admin**:

- Ensure all CAREGiver profiles are up to date
- Ensure all CGs have the appropriate induction (MLC)
- Certificates given (photograph as evidence)
- Ensure CAREGivers great work is recognised on Social Media Platforms
- Ensure CAREGiver anniversaries and birthdays are recognised (card and posts)
- Ensure CAREGivers remain compliant - ie PP tasks - on going motor tasks new insurance for example
- Organise the monthly CAREGiver drop in
- Organise the quarterly CAREGiver team meetings
- Spend an hour a week - just calling round - just because to give ‘an hour of love’
- That car documents are updated as expire
- That DBS is clear and upd
