**Your Role**
The role of Management Team Personal Assistant is key to the delivery of effective, efficient and professional operational service and communication within the business. Working as part of the Management PA Team, you will be supporting our Group Executive Boards, Board Committees and Management Committees that have strategic responsibility for specific business areas.
**What You'll Be Doing**
- Acting as a confidential personal assistant to members of the Senior Management Team.
- Organising meetings, including preparation of agendas, collating and distributing meeting papers in a timely manner, minute taking and producing draft minutes for approval as soon as possible after the meeting.
- Delivery of high levels of internal communication.
- Supporting the Management Team in prioritisation of workloads.
- Manage action and pipeline logs, ensuring they are kept up to date and accurate.
- Drafting and submitting expense claims in accordance with our Policy.
- Diary management via the electronic calendar system, ensuring accurate information is included. Scheduling reoccurring meetings and forward planning.
- Arranging conference calls, follow procedures to book meeting rooms and video conferences when required and cancel those as soon as possible if arrangements change.
- Booking extensive and detailed travel arrangements and accommodation in accordance with our Policy.
- Work collaboratively with our Document Production Team who undertake all typing and document production Ensuring style of the document / correspondence produced is maintained which will accord with Irwin Mitchell’s house style.
- Work as efficiently and cost effectively as possible. Avoid use of budget for activities which are not essential or business critical.
- Support our Group Sales & Marketing Team in the hosting of events, including setting up and running MS Teams Live Events.
- Support making the relevant location a great place to work and the wellbeing and mental health of all your colleagues.
- Actively support processes which minimises Irwin Mitchell’s exposure to risk. Proactively monitoring key dates and central diaries.
- Support the development of our teams by supporting on the capture of knowledge, organising training and sharing information.
- Liaise and work collaboratively with fellow Management Team PAs to provide a seamless and efficient, top quality service to the business.
**What We're Looking For**
- Experience of providing senior PA support at a high level.
- Brilliant verbal and written communication skills with strong attention to detail.
- Ability to maintain a high degree of confidentiality and professional discretion
- A collaborative team player, capable of working well with and supporting others
- Flexible and adaptable approach. Good time management skills/ability to deal with competing work priorities
