We are looking for an office administration professional to join our Reading office as Regional Support Assistant (Band 1), providing support to our Reading office (where you will be based) and the national regional support hub.

Whilst this provides a list of main duties, it is not exhaustive and responsibilities may vary depending on office, discipline and regional requirements, and/or other secretarial/administrative support in that team and/or office and/or region.

**To have an impact in the role, you will complete**:

- General secretarial and administrative support
- Professionally welcoming clients and visitors to the office
- Handling incoming calls (via Microsoft Teams - training to be provided), taking messages and dealing professionally with queries
- Managing post and couriers
- Booking meeting rooms via Microsoft Outlook, setting up and clearing away refreshments, setting up conference calls via Microsoft Teams
- Assisting with keeping the office presentable
- Typing and formatting letters, reports and all other correspondence (training will be provided)
- Undertake research as required
- Collating documents, photocopying, printing, scanning and binding
- Liaison with third parties such as the external printing company and catering company
- Assisting with travel and accommodation arrangements, as required
- Ordering / maintaining office supplies (to include keeping stationery cupboards neat and tidy)
- Monitoring/Ordering/maintaining kitchen/catering supplies
- Opening new jobs via Deltek (training will be provided)
- Updating office documents, including the phone list and organisation chart
- Working collaboratively with the Office Support team with workload and ad hoc projects and tasks
- Any other duties required for the efficient and professional functioning of the office and/or regional support team

**Team and Office support**:

- Work cooperatively with the Office Support team to provide secretarial/admin/receptionist cover, as required to support with the efficient functioning of the team/office
- Committed to delivering high quality secretarial and administrative support in a flexible, pro-active and value-added way as part of the Regional Support team and the National Support team
- Has a positive attitude to change; is flexible and adaptable and has a willingness to learn.

**To succeed in the role, you will**:

- Have an ability and willingness to work cooperatively, collaboratively and professionally with other Support colleagues to provide secretarial/admin/receptionist cover to ensure the efficient functioning of the team/office;
- Be committed to delivering high quality secretarial and administrative support in a flexible, pro-active and value-added way as part of the local, regional and national Support team;
- Have strong organisational and prioritisation skills;
- Be able to use own initiative and work independently to manage workload, meet deadlines and work well under pressure;
- Have a strong team capability and work collaboratively with fee earner, Support and Practice Management colleagues;
- Have strong written and verbal communication skills;
- Be a self-starter and committed to providing a high level of service;
- Have a ‘can-do’ approach, strong work ethic and the ability to multi-task;
- Have good attention to detail, have a willingness to learn; and,
- Be proficient with Office, including Word, Excel and Outlook. PowerPoint and Microsoft Teams experience would be beneficial, but not essential as training will be provided
