Warwick Mathematics Institute has vacancies for a full time Undergraduate Support Officers to join our student facing team which supports our undergraduate students’ education and their wider student experience. **JOB PURPOSE**
To provide administrative support for the Undergraduate degree programmes and to respond to enquiries from staff and students on both undergraduate and more general matters.
**DUTIES & RESPONSIBILITIES**
The duties and responsibilities outlined are not intended to be an exhaustive list but to provide guidance on the main aspects of the job. The post holder will be required to be flexible in their duties. Duties could include:
**1. Student and Course Administration**
- Managing the process and maintenance of accurate student records, using for University side systems (such as SITS) and local systems to ensure that student’s records are regularly updated;
- To be responsible for the department’s support mechanisms for student induction and student experience matters, including the preparation of materials and other published information for current and prospective students;
- The timely collection of module assignments, the accurate recording of assignment marks, and the distribution of feedback to the students;
- Maintenance of efficient and accurate office procedures including the setting up, maintaining and archiving of student data in both physical and digital files;
- To undertake relevant working relationships with other academic and non-academic departments;
- Managing own workloads to meet strict deadline ;
- Provide support with keeping web-based content up to date.
**2. Student Support**
- standard information and advice on questions regarding all aspects of degree programmes and their course regulations. This includes matters such as module registration, unusual options, assessment procedures, mitigating evidence, course transfers and transcripts, in addition to more general matters;
- Identification and management of arrangements for students who have serious medical and/or personal problems, referring students to other parties as required for further advice;
- Ongoing monitoring student engagement and progress and raising any concerns with the relevant member of administrative or academic staff;
- Contributing to the improvement of the student experience by supporting colleagues and relevant groups with the implementation of enhancement initiatives.
**3. Examinations and Assessment**
- Provide support with the checking of exam paper rubrics, the checking and recording of exam marks, the distribution and filing of exam scripts and assessed work, and supporting the administrative preparation for exam board meetings;
- To co-ordinate accurate, user-friendly and timely documentation for external examiners and exam boards;
- To prepare and distribute exams results to academic staff, students and the University’s Examinations Office;
- To assist with the administration of the tutorial system including the processing of tutee allocations and any subsequent amendments.
**4. Admissions Events and Marketing**
- To contribute to the Department’s programme of admissions events, open days and offer holder visit days, which will include occasional working at weekends;
- To coordinate and plan admissions events including liaising with central support services, and scheduling staff and students to support the admissions events;
- To employ support staff for events, ensuring that contracts are arranged in accordance with Tier 4 regulations and accepted practice;
- To assist the Admissions Tutors with departmental admissions procedures and marketing information, liaising with central providers as necessary. This includes editing of web and other marketing material.
**5. Assessed Work and Exam Scripts**
- To manage the flow and processing of termly assessed work from academic staff and supervisors/teaching assistants and exam scripts, with responsibility for the preparation of the documentation for external examiners;
- To ensure that any temporary staff employed during exam periods complete their tasks in an accurate and timely manner;
- To manage the checking of assessment marks, monitor comments from supervisors and tutors, and process marks using university systems and/or local databases.
