Colposcopy Systems Administrator

We are seeking an enthusiastic and highly motivated individual to support the Colposcopy team.
You should have sound word processing/audio typing skills, the ability to use a variety of software and demonstrate excellent communication and organisational skills.
RSA Level 2/3 typing/word processing or equivalent is required, as well as recent secretarial experience and experience of using computerised databases. Knowledge of medical terminology would be an advantage.
- The post holder will be expected to liaise closely with the multi-disciplinary colposcopy team to provide information and knowledge in support of national requirements and developments. This will require your commitment to developing good practices and working relationships to enable you to play your part in ensuring the best possible experience for the patient.
- Working with the minimum of supervision the post holder will be responsible for the collection and analysis of key colposcopy information to ensure that patients’ diagnosis and treatment times meet the national standards.

Co-ordination of Colposcopy Service
1. To ensure the efficient running of the service by collecting information from a number of sources regarding patients referred to the Trust’s colposcopy service, and record the information onto the colposcopy information system.

To ensure all investigations including smear and histology reports are available for clinic in a timely manner and all letters are typed up following clinic, sending out result letters as necessary. All investigations ie smears/ biopsies must be recorded in the colposcopy database system following
3. To ensure appropriate communication with the patient at all times.
4. To arrange clinical appointments for both new patients referred to the clinic and patients attending for a follow up appointment.
5. To develop and implement system mechanisms for ensuring completion of clinical data following every colposcopy clinic and that the data fields are completed and recorded in a timely manner.
6. To triage, with support, all cytology referrals coming to the department and liaise on a day to day basis with the outpatient staff to ensure all relevant information ie clinic date, diagnosis, treatment times are collected for the colposcopy patient.
Documentation / records
1. Assist in the development, implementation and monitoring of relevant
protocols and guidelines ensuring standards and procedures are followed with regards to the service.
2. A fail safe procedure operates for colposcopy patients. The post holder will need to take action for any patient who has not attended the clinic.
3. Contribute to the strategic and business planning for colposcopy services and attend any regular meetings as agreed by the line manager.
4. Manage and monitor services against Quality Assurance objectives and initiate action as required.
5. Take responsibility for self-development with regards to developing appropriate knowledge, skills and job competencies identified through the staff development review system.
6. Act as a point of resource for the colposcopy patient, redirecting to appropriate staff as necessary.
7. Ensure that all investigation results are checked and signed before filing in the casenotes accurately, following Airedale NHS Trust procedure and guidelines. (All investigations must be signed by a doctor before being filed)
Information Systems
1. Ensure systems for collecting, storing and retrieving information are kept up to date and stored according to organisational procedure.
2. Seek to continually improve systems and, where appropriate, set up new systems in conjunction with the multi-disciplinary team.
3. Enter all necessary data onto the MASEY and SystmOne system databases. This will include demographic information for every patient seen in the clinic.
4. Ensure that the information on the colposcopy information system is accurate and timely by validation and data quality checks.
5. Work and liaise closely with the colposcopy multi-disciplinary team ensuring appropriate communication with all disciplines.
6. Present information at unit meetings.
Monitoring /Audit
1. To produce quarterly KC65 reports.
2. To regularly check clinical systems to ensure key information is available, producing monthly reports for the unit.
