The Private Secretary to Director Core Information Services (CIS) provides a professional outer office management service for the Director’s office, in particularly as a direct liaison for the Delivery teams, Executive Director, Chief Information Officer and UKSC point of contacts to oversee governance and information sharing for the Directorate.

**Job description**:
This unique role is the primary point of contact for the CIS Directorate on behalf of the Director and is responsible for ensuring coherence and enabling information is available across the 2* and 3* pillars for informed decision-making and engagement. An inquisitive mind, excellent MS tooling skills, and a willingness to develop extensive situational awareness across the developing organisation are essential.

The role also requires daily engagement with colleagues, suppliers and customers at all levels. Collaborative working, often under challenging circumstances, is also essential. The role sits within the larger Delivery Outer Office.

**Responsibilities**:
The post holder will be responsible for:
Key Responsibilities
- Assimilating information from a variety of sources, collate papers, business cases and briefs for meetings, using own initiative to source relevant information, spot issues and identify opportunities, and raise them early.
- Facilitating the flow of information between the 2* offices across Defence Digital, to the 1* Delivery Teams and all staff.
- Working with the Executive Assistant to manage diaries, have first sight and action of the 2*s correspondence, and prepare relevant papers for the Director including daily folders, meeting papers, submissions and letters, and prioritising their workflow.
- Ensuring that Director CIS is briefed appropriately for all meetings and engagements, and tracking all actions placed on the Director in various forums and ensuring they are actioned, and relevant parties are kept up to date with progress.
- Providing secretarial support to high level meetings as needed by preparing the relevant meeting materials for attendees, taking and distributing minutes and maintaining action logs.

About You

High levels of professionalism, including an ability to prioritise issues that matter, to separate the urgent from the important, and to brief senior managers on key points in preparation for meetings and engagements.
