Pa/secretary to Managing Director

Reporting to the Managing Director, you will support the Managing Director in fulfilling their responsibilities, contributing to the overall success of the business through the provision of efficient and effective administrative support.
You will be expected to:
HR Co-ordinator
- Work in partnership with the Regional HR Business Partner
- Recruitment - Manage the process in terms of adherence to policy and systems usage
- Policy Administration - Produce / co-ordinate all employee relations/ policy letters (liaising with HR Business Partner or the HR Advisers for queries/ signing off of correct letter) for HR Policies
- HR Reporting - To include provision of a monthly HR Report and ad-hoc reporting as required
- Administration and providing advice to Line Managers and Employees on Company Processes and Procedures including; Recruitment, Sickness, Flexible Benefits, Family Friendly and Leavers
- Attend disciplinary / grievance / redundancy scenarios as appropriate
- Pay Review - Issue pay and bonus review letters in a timely manner
- Management and Administration of New Starters
- Ensuring the HR System iTrent is fully up to date and maintained
- Ensure that the Divisional Organisation Charts are updated on a monthly basis
- Recognition -Administer Staff Awards for the Division
- Ad hoc HR tasks as and when - e.g. information gathering and updating exercises required by group and/or others
- Personnel Files -Maintain and ensure information is filed, is current and in keeping with audit requirements.
PA to the Managing Director
- Supervise Departmental PA’s/Secretaries and Receptionists
- Manage arrangements for meetings, refreshments, travel, social events, etc
- Office maintenance - office cleaners and window cleaners, ensuring offices and other areas are clean/tidy, general office environment
- Writing letters, memos, Board Reports, schedules, etc., follow up and collate responses if required
- Liaise with internal customers to ensure a smooth flow of information and work between departments and with Head Office
- Attend the Management Meetings to report on HR, staffing and office issues/matters
- Arrange Divisional Events, i.e. Seminars, Training and Christmas Party
- Provide other appropriate ad hoc duties, and administrative support for other departments, as and when required.
What you'll need?
To be successful you will have:
- You will need wide HR experience as you will be the first contact for all HR matters, including all site operatives and members of the Mercia team
- Experience of working in a secretarial/admin role
- Intermediate to advanced level of proficiency with MS Office programs and a good standard of written English. Ability to generate professional correspondence unaided
- Self-disciplined, with demonstrably good time management skills and the ability to manage a number of priorities
- Ability to multi-task, and work efficiently and accurately under pressure
- Team player, supportive of colleagues
- Professional and pleasant manner in dealing with internal and external customers
- Excellent telephone skills.
