An opportunity for a Business Support Assistant (BSA), to join our Professional Standards Team in the East of England Region, NHS England and Improvement.
We are looking for an individual who can operate in a fast paced, professional and exciting environment, who can bring with them transferable skills and experience, as well as diversity in thought and diversity in background to an established team.
The Professional Standards Team carry out full performance, appraisal and revalidation support from start to finish of the practitioner’s alignment to the East of England Responsible Officer.
**The Appraisal team consists of the following**: - Appraisal and Revalidation Senior Project Manager, Appraisal and Revalidation Project Coordinator, Appraisal Business Officer and Appraisal Business Support Assistants. The team is managed by the Head of Professional Standards and the team is supported by the Professional Standards Business Officer.
This role is a key part of ensuring that all GPs are provided with and undertake an appraisal on an annual basis enabling them to have their practise revalidated for a further 5 years. The Appraisal team is responsible for the provision of high-quality project delivery and ensuring that the National Health Service (Performers List) (England) Regulations 2013 and The Medical Appraisal Policy 2015 are followed with regards to practitioners on the National Performers List.
Duties
1. Undertake administration tasks in relation to A&R as directed by the Senior Project Manager/Project Coordinator
2. Create, input, monitor and update details into systems such as RMS, Lightning, Clarity.
3. Draft correspondence following Revalidation Panel
4. Be part of the rota for the inboxes, ensuring that all the queries are either dealt with/ forwarded appropriately and logged on the appropriate systems.
5. Be part of the rota for the team telephone response line, ensuring that all queries are dealt with/forwarded appropriately and logged on the appropriate systems.
6. Take notes at the A&R meeting for the RO if required.
7. Coordinate the Revalidation Panel if required.
8. Organise and plan events, providing all necessary documentation and supporting materials.
9. Track appraisal activity and report on this monthly.
Accountabilities
- Ensure all urgent and/or confidential communications are received and distributed from/to relevant parties in a timely manner
- Supporting team in project management and participating in department events
- Working with all team members in the collection of information for performance reporting on relevant team projects.
- Acting as a point of contact for team, dealing and responding effectively with complex queries from stakeholders and passing on relevant information to appropriate team members sensitively and autonomously
- Running and collating reports which may include reports to the Board and senior management as required
- Developing and maintaining effective electronic systems, to ensure that information is kept securely and is accessible to other members of the team
- Preparing agendas, taking minutes, and distributing notes of meetings
- Providing guidance and advice on relevant policies and procedures.
Carry out other appropriate delegated duties as required.
