The Company

Our client is a well-established venture capital firm that invests in technology start-up companies disrupting the real estate industry. They are looking to hire an Executive Assistant to provide support to senior members of the team. **Responsibilities**:
Coordinate daily calendars of senior management
Act as the point of contact between executives and clients
Make travel arrangements
Plan and manage appointments and events
Track and submit invoices to external accountants and reconcile expense reports (accounts payable)
Facilitate internal communication (e.g. distribute information and schedule presentations)
Create regular reports and update internal databases and maintain a filing system
Process documentation and prepare reports relating to personnel activities (staffing, recruitment, training, grievances, performance evaluations etc)
Assist in payroll preparation by providing relevant data (start dates, holidays, etc)
Deal with employee requests regarding human resources issues
Update and maintain office policies and procedures
Compile and update employee records (hard and soft copies)
Provide general support to visitors
Order office supplies
Suggest more efficient ways to run the office and troubleshoot

**Experience & Qualifications**:
Proven work experience as a Executive Assistant, Personal Assistant or similar role
Knowledge of office procedures
Solid experience with office management systems MS Office (MS Excel and MS PowerPoint, in particular) and confidence to use new software and tools
Familiarity with online calendars and cloud systems
Knowledge of office management systems and procedures
Experience exercising discretion and confidentiality with sensitive company information
Excellent time management and organizational skills with an ability to think proactively and prioritize work
Attention to detail and problem solving skills with the ability to multi-task
Excellent written and verbal communication skills
Experience using office equipment, including printers
