This role reports into the Commercial Finance Director and entails providing secretarial and administrative support to the Finance team and carrying out ad hoc Finance duties.

My client is one of London's top 10 office space constructors and is the developer of the largest urban regeneration project in Europe. They are also one of the most sustainable construction companies in the UK.

**Description**
- Carrying out duties as requested by the finance department directors and other members of the team.
- Arranging meetings and maintain the team's diaries using Outlook.
- Processing/scanning external and internal correspondence including invoices, post, contracts, purchase orders, accounts, etc.
- Raising purchase orders for approval.
- Organising joiners/leavers in the finance department including filling in IT forms for equipment/drive/software access (and ensuring it is set up appropriately) as well as ensuring all equipment is handed back into the IT department upon leaving the company.
- Administering and maintaining the finance library, including ordering books and publications, processing invoices from suppliers on Yardi.
- Ensuring finance mailing lists, sharepoint org chart, and other central finance department sharepoint items are regularly kept up to date.
- Key contact for Facilities Manager and IT Manager as regard to the finance areas of the floor - organising and co-ordinating office moves as required.
- Ordering office furniture and supplies as required.
- Managing catering requirements including arranging lunch/events as required.
- Carrying out other secretarial duties as required including typing, spreadsheets, proof reading, photocopying, minute taking, relying messages to the appropriate individual, etc.
- Carrying out tax related tasks including:

- Checking the monthly postponed VAT account statements and put in the folder and scan into the PVA Statement folder for that month.
- Submitting Corporation Tax and VAT returns.
- Uploading DD and invoices into Yardi for VAT payments to HMRC.
- Scan IRS documents to our tax advisors as and when received.
**Profile**
- Practical experience - demonstrable experience working in a secretarial or administrative capacity.
- Down to earth - able to build good working relationships across the business and work effectively as a team member.
- Strong attention to detail - tasks delivered are free from errors, databases are organised and up to date, communication is very clear and concise.
- Very organised with exceptional time management skills - able to work under pressure, prioritising competing tasks and deadlines.
- Proactive - self-motivated and have a pro-active approach to work and helping others.
- Flexibility - able to pick up new tasks or perform tasks at short notice.
- Numbers literate - basic understanding of numbers and accounting.
- IT skills - proficiency in Word, Excel and Powerpoint.
- Must be able to deal discretely with confidential information.

**Job Offer**
- Permanent role
- £35,000-40,000pa plus discretionary annual bonus and superb benefits package
