Key responsibilities

Maintain and update service databases
Collate weekly and monthly reports
Book meeting and training rooms,take minutes and distribute as required
Support with note taking and report writing as required, to include interviews, disciplinary and formal meetings

Resourcing / Recruitment Support

Support with recruitment including supporting at Interviews, monitor vacancies, DBS, compliance checks, obtain references, new starter paperwork, and filing, create and maintain electronic personnel file, update staff database, fleet and other systems.

HR Support

Coordinate staff changes and send to HR and Payroll as required and monitor, track and monitor career progression and mapping. Track induction feedback, probationary periods and issue completion paperwork/formal letters.

Inspire Co-ordination

Participate in the growth and development of the business.
Distribute HK payments/Bank Statements to the Homes in a timely manner supporting the finance team.
Monitor Managers AL ensuring a balance of Managers take leave throughout the year
Support with audit of timesheets, expenses, rota management and service budgets
Coordinate fleet responsibilities and ensure new and existing drivers are compliant
Coordinate communication between Homes and Ofsted/LA’s as required, Monitor and track
Monitor and track all incidents
Track all YP meetings and minutes
Develop new forms for accurate recording, reporting and other protocols, Develop tracking systems across a number of functions to enable Operations to accurately observe/report. Prepare reports and presentations with statistical data, as assigned.
Report on placement vacancies across services and reports on potential leavers
Coordinate attendance, book venues and issue invitations, attendance and certificates for training
Audit trade cards for Maintenance, Audit Maintenance Receipts/spends/statements, liaise with maintenance Admins. Coordinate maintenance payroll, expenses, leave, absence and work schedules
Attend external meetings and represent the service in a positive manner
Answer queries by employees, clients and other stakeholders
Additional and ad hoc tasks as required
