As a Wedding & Events Sales Coordinator Assistant, you will play a crucial role in supporting the Sales Coordinators, and coordinating smaller events. You'll be at the forefront of our guest experience, combining your excellent communication skills with meticulous organisational abilities. Your responsibilities will encompass a wide range of tasks, including administrative duties essential to the smooth execution of events.
- **Key Responsibilities**:_
- Customer Interaction: Build and maintain strong relationships with clients by actively listening to their needs and offering creative solutions to meet their event requirements.
- Client Meetings: Arrange and conduct meetings with potential clients, providing tours of our venue and organising menu tastings.
- Coordination: Collaborate closely with our conference & banqueting team, ensuring seamless communication and the accurate execution of event instructions.
- Supplier Communication: On occasion, liaise with suppliers and contractors to coordinate event logistics and ensure all requirements are met.
- Administrative Tasks: Your role will involve various administrative responsibilities, including:

- BEOs (Banquet Event Orders): Prepare and organize BEOs to ensure all event details are accurate and well-documented.
- Menu Counts: Manage menu counts and dietary requirements.
- Place Cards: create prepare place cards with guests name and menu choice ensuring guests are seated correctly.
- Board Spotting: write events information for the week on the office board and keep it update.
- Flyer Drops: Visit key clients and local business with flyers, brochure menus to promote the venue.
- Party Nights: Contribute to the setup and coordination of party nights, ensuring a fun and memorable experience for attendees.
- Computer Proficiency: Utilise computer skills to create schedules, plan events, manage budgets, prepare contracts, and upload event details onto our booking system.
- **Qualifications**:_
- Strong communication skills, both written and verbal.
- Exceptional organisational skills, with the ability to manage multiple events concurrently.
- Ability to remain calm and adaptable in high-pressure situations.
- Previous experience in event coordination, sales, or hospitality is a plus.
- Passion for creating memorable guest experiences.
