The position available is a permanent full-time position.
This is a great opportunity to join our team at Qube Events & Productions. We are a quickly expanding, innovative event decor company and are looking for a team of Event Coordinators to manage our confirmed bookings and look after our clients and the delivery of their events.
This is a new role for the company, therefore is a real opportunity to bring your events expertise to the forefront in this period of rapid growth. You will need to be flexible in your approach and be proactive in your work. We are looking for a self motivated individual who will fit in with our new team and who is looking to make a difference It's a great opportunity to learn from some of the industry leaders, develop and nurture your own Clients with autonomy.
This is very much a service based & event coordination role. Excellent attention to detail is a must, along with excellent communication and customer service skills.
You will be responsible for the following:
- Setting up confirmed events in our booking management system (Hire Hop)
- Key point of contact for your clients during the full planning process & managing and helping with the set up of events on-site
- Preparing pulling & prep lists for our warehouse team
- Hiring in items if required
- Identifying purchasing requirements & working together with our procurement specialist to ensure your job has everything required to be delivered
- Tracking client’s payments & sending invoices
- Updating booking forms with client changes
- Briefing the warehouse team to create client mock-ups
- Running of final details meetings with clients in our event studios
- Briefing the warehouse team on the creation of each event & overseeing everything to ensure you are confident your event has everything on it.
- Tracking the profitability of every job & recording expenses
- Preparing & briefing suppliers of bespoke items
- Preparing Event Production Briefing documents for our on-site team
- Liaising with venues regarding access times for set up & derigs
- Building relationships with venues & growing partnerships across the industry
- Site visits
- Client follow up post event & retention
- Promotion of our other brands to clients
- Responsible for upsells & general company promotion through your socials in the public domain. E.g. LinkedIn.
- You will work closely with our account management team to support with new enquiries.
- You will be part of our set up team for events, venue dressing experience is an advantage.
- Attendance at networking events & wedding fairs

- Have excellent teamwork skills

- Excellent coordination & management skills
- A good understanding of the events industry, specialising in the wedding industry, corporate or cultural events
- A good understanding of finance, cost control and profit and loss
- Computer Literate
- Great telephone manner and ability to build excellent relationships with clients & suppliers
- As part of this role you will go out on-site and support our set up team. This work often takes place at weekends. (Flexible working hours are in situ & overtime is paid)
- Excellent work ethic
- Exceptional attention to detail is key to the success of this role

- A driver with a full UK driving licence.
